I replaced my patchwork of tools and reclaimed hours every week

Dr. Kelly Wade, a marketing strategist from Australia, shares how Plutio replaced her patchwork of tools. She now manages multi-currency invoicing, task templates, and client communication in one platform, saving hours every week.

It was the first tool I was genuinely excited about. Invoicing, proposals, tasks, chat, time tracking - all in one place. It was a no-brainer.

From scientist to marketing strategist

Dr. Kelly Wade's path to entrepreneurship wasn't exactly planned. She spent years working as a scientist for the Australian government, but during that time she kept getting pulled into marketing and PR projects. Turns out, she had a gift for taking complex ideas and making them easy to understand.

When maternity leave came around, Kelly started doing a bit of marketing work on the side. What started as a few freelance projects quickly snowballed into something bigger. By the time she was ready to return to her government job, she'd already built the beginnings of a real business.

The problem? Her employer wasn't offering flexible work arrangements. So Kelly made a decision that would change everything - she went all in on her own agency.

Today, Kelly runs a full-funnel marketing agency from Australia, serving two very different types of clients. On one side, she works with small family-run businesses who need complete marketing funnels - content creation, lead capture, the works. On the other, she helps large international organisations break into the Australian market.

It's the kind of varied client roster that requires serious organisation. And for a long time, Kelly didn't have the systems to support it.

The multi-currency nightmare

Like many solo founders, Kelly's early days involved a patchwork of free and low-cost tools. Proposals lived in Word documents. Invoices were tracked in Excel spreadsheets. Client communication happened across email threads that seemed to multiply overnight.

But the real headache was invoicing. Half of Kelly's clients were in Australia, the other half in the US. She needed a system that could handle multiple currencies, different tax requirements, and automatic GST calculations for Australian clients.

The only solution she could find was paying for Xero's multi-currency support - and the monthly cost was, in her words, "ridiculous."

Everything required extra effort. There was no automation, no clean system for tracking projects, and no way to see how much time she was actually spending on each client. Kelly had built an elaborate folder system for her proposals - but keeping track of which version was the "final final" was a constant source of stress.

Finding Plutio on AppSumo

Kelly had been browsing AppSumo for a while, picking up tools here and there. Most of them were fine - nothing special. She'd grab the lowest tier, try them out, and usually end up abandoning them within a few weeks.

Then she stumbled across Plutio.

This was different. It wasn't just a proposal builder. Or just a time tracker. Or just invoicing software. It was everything she needed, all in one place. Invoicing with multi-currency support. Proposals that clients could actually sign. Task management. Time tracking. Client communication. All connected.

For the first time, Kelly didn't grab the lowest tier. She went all in.

The moment it clicked

The lightbulb moment came when Kelly sent her first proposal through Plutio. Before, getting a client's agreement meant digging through email threads looking for some variation of "yeah, let's go ahead." It was wishy-washy. Unprofessional. And it made her nervous about starting work without a clear commitment.

With Plutio, the client clicked a button, signed the proposal, and Kelly got a notification: "Proposal accepted."

I saw the notification and thought - wow, this just works.

That simple moment - knowing exactly where she stood with a client - changed how Kelly felt about running her business. No more uncertainty. No more back-and-forth. Just clarity.

How Kelly runs her business now

Since switching to Plutio, Kelly has completely reimagined how she operates. The patchwork of tools is gone. Everything lives in one place - and everything talks to each other.

Multi-currency invoicing that actually works

Kelly has invoice templates set up for each currency. When she uses her US template, everything is configured correctly. For Australian clients, GST is automatically applied. She never has to wonder if she forgot to add tax or used the wrong rate.

To make payments even smoother, she integrates Airwallex directly into her Plutio invoices. Clients can pay by card without getting hit by international banking fees - a small detail that makes a big difference in client relationships.

She can also see exactly when someone opens an invoice or proposal. If a client has been opening the same proposal five days in a row, Kelly knows they're thinking about it. That visibility helps her time her follow-ups perfectly.

Templates as living SOPs

Task templates have become one of Kelly's secret weapons. When she worked in government, she tried all sorts of project management tools - Microsoft Project and others. None of them combined project management with the ability to create reusable task templates.

In Plutio, Kelly can type "/template" and instantly pull up a detailed brief with all the instructions, assets, and context her team needs. No more explaining the same task from scratch. No more hunting through Google Drive for the right SOP.

The best part? When she finds a better way to explain something, she updates the template once and every future task reflects the change. Her templates aren't static documents - they evolve with her business.

Communication with context

Email threads used to drive Kelly crazy. Every message about a task required a subject line, context about which project it related to, and usually some back-and-forth just to establish what everyone was talking about.

Now, all communication happens within tasks. Kelly can @-mention her team directly on a specific task and simply ask "Where did you save this file?" Everyone knows exactly what she's referring to. The context is built in.

And when it comes to chasing payments, Plutio handles the awkward reminders automatically. Kelly only needs to step in if a client is seriously behind - the system takes care of the rest.

Branded links that build trust

When Kelly sends an invoice or proposal, the links are branded with her own domain. It's a small thing, but it makes a difference. In online business, where you often never meet your clients face-to-face, trust is everything.

It's like when someone emails you from a Gmail account instead of a business email - you can't help but wonder if they're legitimate. Kelly's clients know it's safe to click because everything comes from her domain.

The Cosmos Magazine project

With Plutio handling the operational side of her business, Kelly has more bandwidth for the projects she's genuinely excited about. One recent highlight was creating a 9-page "flip book" as the back section of an issue of Cosmos Magazine, in partnership with Queensland University of Technology.

The scope was enormous. Kelly interviewed experts, wrote all the content, handled the typesetting, and designed the cover. Then she coordinated revisions and approvals between two separate teams - the client and the Cosmos editorial team.

That's roughly 10% of the entire magazine, produced by one person. It could easily have been someone's full-time job.

Everything was tracked in Plutio - task management, approvals, deadlines, and feedback. When last-minute changes came in (and they always do), Kelly could reorganise and respond without losing track of anything.

Beyond client work

Kelly doesn't just use Plutio for her agency. She also manages a client's entire business through the platform, plus her own creative projects - including publishing books and launching digital products.

Time tracking helps her stay honest with herself about where her hours actually go. She's the first to admit she's not great at estimating how long things will take. Having actual data keeps her accountable and helps her price projects more accurately.

It also helps her manage her assistant. They don't work in the same location, but Kelly can see exactly what's being worked on and how much time it's taking.

I'm definitely more organised, waste less time, and have less to be stressed about.

Kelly's advice for getting started

If you're thinking about switching to Plutio but haven't taken the leap yet, Kelly has some advice: sometimes you don't know how painful "normal" is until you see how good things can be.

Think about the tools you're using right now. How much time do you spend jumping between them? Copying and pasting information? Trying to remember which version of a document is the right one?

There's no risk in trying something new. And the payoff - having everything connected in one place - is bigger than you might expect.

Once you're up and running, Kelly's number one tip is simple: start using templates. Not by building them from scratch (that's overwhelming), but by saving tasks that go well as templates. When something works, capture it. Then iterate and improve over time.

Start from tasks that worked well, then iterate

The bottom line

Kelly built her business to have flexibility. The ability to work on her own terms, take on projects she's excited about, and spend time on the creative work that actually matters to her.

Plutio helps her keep it that way. Whether she's onboarding new clients, coordinating complex projects, or switching between agency work and her own creative pursuits - everything stays connected, professional, and manageable.

Scaling to this point wouldn't have been impossible without Plutio. But it would have been a lot harder.

A few fun facts about Kelly

When she's not running marketing campaigns or writing for national publications, Kelly is a fantasy fiction author with a serious passion for dragons. She collects dragon figurines, paints dragon-themed artwork, and nearly used a dragon as her business logo (she went with an owl to keep things professional).

She's published several books - both fiction and non-fiction, including children's picture books. Right now, she's working on shorter fictional stories to build her "fiction writing muscle" for an ambitious 120,000-word novel she has in the works.
