WHEN DO QUANTITIES AND THE BALANCE GET LOCKED?

You tell us when your final numbers need to be set for the event. We work to that deadline, then we set the balance due date based on the final numbers and issue the invoice for the remaining 75%.

What do you need from us before bump-in?

We need the venue’s access notes, bump-in and bump-out windows, and a floor plan or marked layout. If the venue has a compliance checklist, send it through so our protection plan matches it.

WHAT HAPPENS IF THE VENUE CHANGES ACCESS OR TIMINGS LAST MINUTE?

Send the updated notes as soon as you get them. We’ll re-check footprints and the load plan against the new route or window, then tell you what changes on-site, and what needs a substitution to stay compliant.

Retainer

We’ll lock your date in once the agreement is signed and the 25% retainer is paid. Until that’s in place, we can talk through options, but we can’t hold the date.

Balance and invoices. The remaining 75% is due before the event, based on the final numbers, by a date we set. Each invoice is payable within 14 days of its date.

Final numbers. You tell us when your final numbers need to be set for the event. We’ll build to that deadline, lock quantities, and use those numbers for the balance invoice and truck load plan.

Access notes and layout. Before bump-in we need the venue’s access notes, bump-in and bump-out windows, and a floor plan or marked layout. If the venue has a compliance checklist, send it so our plan matches it.

Last-minute venue changes

If the venue changes access routes or timings, send the updated notes as soon as you get them. We’ll re-check footprints and the load plan, then confirm what changes on-site or needs substitution.

Cancellations and date moves. If you need to cancel or move the date, tell us as early as you can. What we can refund depends on how close we are to the event, and we’ll confirm the amount when you ask.

Changes after signing. If the hire list changes after you sign, we’ll update the hire list, load plan, and invoice before the event. If a change affects access, weights, or fire exits, we’ll propose a swap that stays compliant.

On-site placement decisions. On the day, Mia O'Connor leads bump-in and placement to match the agreed layout and access route. If we hit a constraint the venue won’t allow, we’ll place the closest compliant option and note it for you.
