About me
I’m Hannah McLeod, the property manager behind Cargill Property. I got into this work because most property problems are timing problems: rent slips, small leaks turn into damp, and minor wear turns into big catch-up jobs. My job is to spot issues early, follow up fast, and keep your place tenanted and cared for through the Dunedin seasons.

Residential tenancy turnaround. New tenant placed after a vacancy, with full checks completed before approval. I coordinated remedial ventilation work and a dehumidifier plan, then tracked the first eight weeks closely so rent and housekeeping patterns were set early.
Quarterly inspection follow-up. Routine inspection completed with a written report and a short follow-up list for the tenant. I scheduled a repair for a minor leak within the same week, then rechecked the affected area at the next visit so it didn’t become a damp issue.
Commercial lease support. Lease coordination and ongoing management for a small commercial unit, with rent collection, arrears follow-up, and maintenance coordination kept separate from outgoings. The owner received a monthly summary that matched the invoice line-by-line.

The service schedule
Property management runs on a set schedule, with extra contact when something changes. You can reach me by email or phone between inspections, and you’ll get an update when rent goes overdue, repairs need approval, or an inspection follow-up is due.
1. Set up Once, at the start I collect the keys, confirm your approval limits, and make sure I have the right contacts for notices and invoices. If there’s an existing tenancy, I confirm the lease details, bond status, and rent ledger so I’m not guessing later. 2. Tenant placement As needed When a tenancy is ending or a property is vacant, I advertise, handle enquiries, and screen applicants. I send you a clear recommendation with the checks completed, then I organise signing, key issue, and the ingoing condition report. 3. Inspections Quarterly I complete a routine inspection with photos and a written report, then I issue a follow-up list where something needs correcting. If I see moisture risk, heating problems, or maintenance that will worsen, I flag it in the same report with options and next actions. 4. Arrears and repairs Every week I track rent receipt and follow up arrears firmly and on time. For repairs, I arrange access, use suitable local trades, and bring you in at the approval point you’ve set. You see the invoice, the reason for the work, and any completion photos I can get.
Tenant screening and checks
Completed for every applicant I recommend for approval, including identity, tenancy history where available, affordability checks, and reference calls.
LEASING AND KEY HANDOVER
Handled at every new tenancy start, including lease signing, bond and rent collection, and key issue with a documented record of what was provided.
RENT COLLECTION AND ARREARS FOLLOW-UP
Tracked continuously, with follow-up action as soon as rent goes overdue and clear escalation if it doesn’t resolve quickly.
Routine inspections and reporting
Completed quarterly, with photos and a written condition report sent to you after each inspection, plus a follow-up list when tenant action is needed.
WINTER MOISTURE AND HEATING CHECK
Completed once each winter season, focused on ventilation, signs of damp, and heating use issues that often show up in colder months.
MAINTENANCE COORDINATION
Arranged whenever an issue is reported or spotted, including contractor booking, access coordination, pricing checks, and sending you the invoice for sign-off.

How do you screen tenants, and what do you check?
I screen every applicant I’m considering recommending. I check ID, income capacity, tenancy history where it’s available, and I call references. You’ll get a written summary of what I checked and why I’m recommending that applicant.
HOW OFTEN DO YOU INSPECT, AND DO I GET PHOTOS AND A WRITTEN REPORT?
I inspect quarterly. After each inspection you get photos and a written report that notes condition changes, any tenant follow-up needed, and any maintenance I recommend. If something needs action, I include the next step and when you’ll hear from me again.
What spend can you approve without calling me first?
You choose the approval limit during setup. Up to that limit, I can get straightforward repairs moving without waiting on a reply, then I send you the invoice and completion notes. Over that limit, I come to you with options and pricing before I book the work.
WHO DO YOU USE FOR REPAIRS, AND HOW DO I KNOW THE PRICING IS FAIR?
I use established local trades who can respond in a Dunedin winter and show up when access is booked. For non-urgent work, I’ll usually seek a second price if the job is sizeable or unclear. You see the invoice and the reason for the work before sign-off.
Invoices
Each month is invoiced at the start of that month. Each invoice is payable within 7 days of its date. If a plan starts mid-month, I invoice the remaining days for that first month.
Approval limit. You choose a maintenance approval limit during setup. I can approve straightforward repairs up to that limit without calling first, then I send the invoice and completion notes. Over that limit, I’ll confirm options and pricing before booking.
Access and keys. For inspections, viewings, and repairs, I need working keys and any alarm or access instructions. Please share codes by phone or a secure message, not inside this document. If keys need cutting, you cover the cost.
Tenant placement. Tenant placement happens as needed and is billed separately from the monthly plan. I handle application checks, a written recommendation, and leasing and key handover. If you want a specific placement fee, I’ll confirm it in writing before I advertise.
Maintenance and invoices
I coordinate repairs with established local trades and book access. You see the reason for the work and the invoice before sign-off. Contractor payment terms and availability sit with the contractor, especially during winter call-outs.
Routine inspections. Inspections are quarterly. After each inspection, you get photos and a written report noting condition changes, tenant follow-up needed, and any maintenance I recommend. If action is needed, I’ll include the next step and when you’ll hear from me again.
Ending the plan. Either of us can end property management with notice. I’ll confirm the notice period and the handover steps in writing when you tell me you want to end, so the tenant and keys are managed cleanly.
Items outside scope. Property management covers the tasks listed in your plan. Work outside that scope, like project-managing renovations or major remediation, is quoted separately and only starts after you’ve approved the scope and the cost.
