Retainer and invoices

To hold your date, we take a 40% retainer when the agreement is signed. We invoice as we go. Each invoice is due within 14 days of its date.

Balance due date. The remaining 60% is due before the event. We’ll set the balance due date once final numbers are agreed, so it lands ahead of the busiest week.

Final numbers. We’ll ask for your final guest count by a deadline we set. We use that number to lock the run sheet, supplier timings, and our on-site hours.

Changes after signing. If the plan changes after signing, we’ll update the budget, payment schedule, and run sheet to match. If the change adds work, we’ll price it before we proceed.

Supplier payments

You pay venue and vendor deposits and balances directly to them, unless we agree a different arrangement in writing. We’ll tell you what is due next before any payment date.

Supplier delays or cancellations. If a supplier runs late or cancels, we start calls as soon as timing slips. We’ll put forward available replacements and pricing, and you approve any new booking before we confirm it.

Moving or cancelling the date. If you need to move or cancel, tell us as soon as you can. The amount we keep depends on how far out it is, using the cancellation schedule we set for that date.
