A manuscript can need calm direction on what to fix first, but nobody wants an editor to sand down the author’s voice or send back vague notes with a big bill attached. This book editing contract gives both sides the day-to-day terms for a developmental edit, so the work, the handover, and the money stay clear when opinions differ.

The opening explains how the contract sits alongside an accepted proposal, then What the work covers spells out big-picture structure work without rewriting the book for the author, and names the written deliverables the editor hands back. Payment puts the 40% deposit up front and the 60% balance on delivery, ties invoices to those milestones, and says work can pause if an invoice goes overdue. The later sections cover the single Revision check, the split in Who owns what, what the editor is and isn’t responsible for, and Ending the project, which sets the notice, the handover point, and what gets paid or refunded if the work stops early.

  • This Book Editing Contract sets out Links the contract to an accepted proposal and explains how the day-to-day edit will run and what happens when changes come up.
  • What the work covers Defines the developmental editing scope, lists the written deliverables, and excludes line editing and copyediting unless both sides agree in writing.
  • Payment Sets a 40% deposit to book the work and a 60% balance on delivery, with invoices due within 14 days and a pause if payment goes overdue.
  • Revision check Includes one revision check on one updated draft, and puts any extra rounds or out-of-scope work behind a separate written quote.
  • Ending the project Explains how either side ends the work in writing, what gets handed over, and how partial work is charged or refunded once the account is settled.

This contract lives in Plutio as a document you send for online signature, so the editor fills in names, dates, and rates, then sends the link and keeps the signed copy with the rest of the project paperwork. Payment milestones in the terms match up with invoicing once the deposit and final balance need collecting.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a book editing contract

PartWhat it covers

This Book Editing Contract sets out

Explains how the developmental edit runs from first read to revision check, and how this contract and the accepted proposal get read together.

What the work covers

Defines the developmental editing scope and deliverables, and keeps line editing and copy editing out unless both sides add them in writing.

Payment

Sets the 40% deposit and 60% final balance, ties invoices to those points, and says work can pause if an invoice goes overdue.

Revision check

Includes one revision check on one updated draft, and routes extra rounds or deeper chapter work through a separate quote agreed in writing.

Who owns what

Keeps manuscript ownership with the author, allows use of the edited files after the final invoice is paid, and reserves the editor’s internal methods and working files.

Our responsibility

Commits to specific, actionable notes while limiting guarantees, and explains what the editor can and can’t be responsible for after delivery.

Ending the project

Covers ending the work in writing, agreeing a notice and handover point, and settling the final amount based on what’s been completed. The Signature sits at the end for both sides to sign.

Who it is for

Freelance editors and editorial studios doing developmental editing, editing & proofreading, or academic proofreading where scope, revisions, and payment milestones need to be agreed in writing.

The contract in full

This Book Editing Contract sets out how we will run your developmental edit project, from the first diagnostic read through to the revision check. If you have accepted a proposal from us, that proposal and this contract are meant to be read together. The proposal confirms the manuscript, timeline, price, and the deliverables list. The terms below explain how we work day to day so you know what you will get back, what we need from you, and what happens when questions or changes come up.

What the work covers

We will complete the developmental edit described in the accepted proposal. This covers big-picture craft and structure, including story or argument shape, chapter flow, pacing, clarity, and what to cut, expand, move, or rewrite, without rewriting the book for you.

The deliverables for this project are listed below. We will deliver them in writing, with specific examples from your pages and clear priorities so you can decide what to change while keeping your voice. This scope does not include line editing or copyediting, unless we both agree in writing to add it.

* Manuscript diagnostic summary * Chapter map and outline * In-manuscript margin comments * Editorial letter * Structural rewrite plan * Revision check notes

Payment

To book the work, you pay 40% of the total price when you sign. We schedule your project and start once the deposit has cleared and we have the manuscript files and notes we asked for.

The remaining 60% is due when we hand over the finished work. We send invoices as the project reaches those points, and each invoice is payable within 14 days of its date. If an invoice goes overdue, we will pause work and hold delivery until the account is up to date. We will always tell you in writing if a pause is coming, so there are no surprises.

Revision check

This project includes one revision check on one updated draft. For us, a revision check means we review the revised manuscript you send after you have worked through our editorial letter and margin comments, then we send revision check notes that confirm what is working, flag what still needs attention, and point out any new knock-on issues created by the rewrite.

Any additional rounds, or any new work outside the agreed scope, are not included. If you want another pass, or you want us to go deeper on specific chapters, we will quote it first and agree the price and timing in writing before we start.

Who owns what

You own your manuscript at all times. Our job is to help you shape it, not to take control of it. Once the final invoice is paid, you can use the edited manuscript file, our margin comments, editorial letter, rewrite plan, and notes however you like for this book and any future drafts.

We keep our own working files, checklists, templates, and methods. We may also keep a private working copy of your materials for our records so we can answer follow-up questions about what we recommended. We do not publish, share, or reuse your text.

Our responsibility

We will do the work with care, using our editorial judgement and giving you specific, actionable notes. Editing is still advice, not a guarantee. We cannot promise agent interest, reviews, sales results, or that every reader will agree with the choices you make.

We also cannot be responsible for decisions made after delivery, including changes you or others make to the manuscript, formatting or upload issues, or deadlines you set with third parties. If something looks unclear or inconsistent in our work, tell us promptly and we will review it and correct any genuine mistakes in what we delivered.

Ending the project

You or we can end the project by telling the other in writing. In that message, we will agree a practical notice period and the handover point, based on what stage the edit is at and what files we are currently working in.

If the project ends early, you will pay for the work we have completed up to the end date. If you have already paid more than that amount, we will refund the difference. If you have paid less, we will invoice for the balance, payable within 14 days of the invoice date. We will hand over the parts we have completed once the account is settled.

Questions about this contract template

What should a book editing contract include?

A book editing contract usually covers the scope of editing, deliverables, payment terms, revision rounds, who owns the manuscript and the editor’s notes, and what happens if the project ends early. This template also includes responsibilities and limits so expectations stay clear after delivery.

Does developmental editing include line editing or copy editing?

Not by default. This contract defines developmental editing as big-picture craft and structure work, and it keeps line editing and copyediting out unless both sides agree in writing to add them.

How do editors protect an author’s voice in a developmental edit?

The scope in this contract says the editor won’t rewrite the book for the author. Deliverables get delivered in writing with specific examples and clear priorities, leaving the author to decide what to change while keeping their voice.

How many revision rounds are included in a developmental edit agreement?

This template includes one revision check on one updated draft. Any extra rounds or new work outside scope get quoted and agreed in writing before the editor starts.

How do payment terms usually work for book editing?

This contract uses a split payment: 40% up front to book the work and 60% due when the finished work is handed over. Invoices are payable within 14 days, and the terms allow the editor to pause work if an invoice goes overdue.

What happens if a book editing project ends early?

Either side can end the project in writing, then both sides agree a practical notice period and a handover point based on the stage of the edit. The author pays for work completed up to the end date, with a refund or a balancing invoice so the total matches what was actually done.
