Scope of work

We deliver contract staffing cover based on the role brief and shift plan you sign off. That includes taking your requirement, agreeing the rate before we search, shortlisting for availability, running right-to-work and pre-start checks, sending an onboarding pack, and chasing timesheets weekly so payroll and billing do not stall.

The specific roles, headcount, start dates, shift times, location(s), rate(s) and any role-specific tickets are the items listed in the proposal. If the shift pattern, start date, site rules or the role changes after we start, we will pause and confirm the updated rate and plan with you in writing before we put new options in front of you.

Payment

To book contract staffing cover, we invoice 30% of the price when you sign the proposal. We invoice the remaining 70% when the engagement is complete. Every invoice is payable within 14 days of its date.

If an invoice goes past due, we will tell you straight away and ask for a payment date. While an invoice is overdue we may pause new sourcing, stop holding availability, and delay new start dates until the account is brought up to date. You still pay for work already completed and any contractor hours you have approved (or that have been worked and submitted while approval is outstanding).

Placement fee timing

Our fee becomes due when you accept a contractor we introduced for this project, and that acceptance can be by email, a signed offer, confirming a start date, or allowing them to start on site. If the start is pushed back, the shift pattern changes, or you make the offer later than originally planned, the fee still becomes due at the point you confirm you are taking that contractor.

The fee amount is the one we set out in the proposal or the rate sign-off we agree with you in writing. Candidate details and CVs we send are for this hiring decision only. If you engage that contractor outside this engagement, tell us first so we can confirm the correct route and fee with you in writing.

Replacement cover

If a contractor leaves, is removed from site, or does not pass your site rules after starting, tell us the same day so we can protect your shift plan. We will start replacement cover immediately using the same intake notes, and we will re-check right-to-work, tickets, availability and any role-specific requirements before we put a replacement forward.

If the role is the same and you have not changed the rate, we will search again for a replacement within a period we agree with you in writing. If your needs change (different shift, different duties, different location, different tickets), we treat it as an updated requirement and we will confirm the updated rate before the replacement starts.

Confidentiality

We both keep what we learn from each other private. That includes your shift pattern, site rules, line constraints, pay rates, and any incident or performance notes you share. It also includes candidate contact details, CVs, references and check results. We only share information with the people who need it to run the assignment, such as the supervisor approving timesheets, payroll, and the contractor on their own booking.

When the engagement ends, we will keep the records we need for compliance, audits and billing, and we will store them securely. If you want us to return or delete specific documents you provided (like site handbooks or internal checklists), tell us and we will confirm what we can do while still keeping the records we must retain.

Independent working

We are an independent business providing contract staffing cover. We are not your employee, and you are not our employee. We run our own recruiting process, use our own tools, and decide how we organise our team to deliver the work.

We handle our own taxes and insurance. We also run the pre-start checks we have agreed with you, including right-to-work and collecting certificates and references where they are available. You still control site access and day-one clearance, so your gate rules, inductions and any client-specific tickets decide who can work on site. You will book any required induction slot and tell us what the contractor needs to bring.

Problems and fixes

We take responsibility for doing what we said we would do: taking the brief, confirming availability, running the agreed checks, and presenting suitable options based on what you tell us. We cannot promise how a person will perform once they are on your floor, in your team, and under your site rules, or that a contractor will never cancel due to illness or travel issues.

If something goes wrong, we want to fix it fast. Tell us as soon as there is an issue with site access, conduct, capability, or shift fit. Our practical remedy is to start replacement cover and to correct any admin errors in timesheets or billing. We do not cover your internal downtime costs, missed output, or knock-on losses caused by a gap on your line or a delayed start.

Ending the project

You can end this project by giving us notice in writing. We can also end it if you ask us to place people into unsafe conditions, if you do not provide the information we need to start (brief, shift times, site rules, and the timesheet approver), or if invoices are overdue and we cannot agree a payment date. We will agree the notice period with you in writing, because it depends on whether contractors are already booked and turning up.

When the project ends, you pay for all work completed up to the end date, including any contractor hours worked. We will hand over what you reasonably need to close out the engagement, such as timesheet status, start and finish dates, and any compliance documents we are allowed to share.
