A tax return needs a clear scope and a clean handover of responsibility, because the risk sits in what gets assumed and what gets missed. This tax preparation engagement letter puts the boundaries in writing before any filing happens, so both sides know what gets prepared, what information has to be provided, and what “filed on time” depends on.

The agreement starts by explaining how the return and related schedules get prepared from the information provided, and how the engagement sits alongside an accepted proposal. What we will do then spells out the steps from records checklist through review and authorisation to filing, including a plain line on what the work is not: the review checks for gaps and category issues, but it isn’t an audit. The slate-blue layout under Lora headings keeps the document reading like a letter, with each section acting as a checkpoint rather than a sales page.

  • This working agreement sets out how Explains how the return gets prepared from provided information, and how the agreement sits alongside an accepted proposal so scope stays consistent.
  • What we will do Describes the workflow from records checklist to filing after authorisation, and clarifies that the work reviews for issues but doesn’t verify amounts like an audit.
  • Payment States the 30% invoice on signing, the remaining 70% on completion or written instruction not to file, and the 14-day payment window with pause-on-late-payment language.
  • Keeping things private Covers confidentiality, permitted HMRC communication, what gets retained after the engagement ends, and how copies can be requested.
  • Ending the engagement Defines how either side ends the engagement, how fees are handled for work completed, and what gets handed over once outstanding invoices are paid, plus Signature.

In Plutio, you change the names, dates, and rates to match your own terms, then send the contract for signature online. Once the client signs, the signed copy becomes the record of what was agreed, including the 30% booking invoice and the 14-day payment terms.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a tax preparation engagement letter

PartWhat it covers

This working agreement sets out how

Defines how the return and related schedules get prepared from information provided, and how the engagement lines up with an accepted proposal so the scope doesn’t drift.

What we will do

Describes the tax preparation workflow, names what gets prepared, and draws the line between checking for issues and performing an audit.

Payment

Sets the booking and completion payment split, the 14-day invoice term, and what happens if late payment pauses work near a filing deadline.

Keeping things private

Covers confidentiality, when HMRC contact is allowed, what records get retained after the engagement ends, and how the client can request copies.

How we are engaged

States the independent contractor relationship, who controls staffing and tools, and how coordination with another adviser stays within the agreed scope.

What we are responsible for

Splits responsibilities between preparation care and client-provided accuracy, and explains how errors, missing support, and HMRC penalties are handled.

Ending the engagement

Explains how either side can end the engagement, how charges are calculated for work completed, what gets handed over after payment, and includes a signature block.

Who it is for

Accountants and tax preparers who need a signed engagement letter before starting Self Assessment return preparation and filing.

The contract in full

This working agreement sets out how we will prepare your return and related schedules from the information you give us, and what we each need to do to get it filed cleanly and on time.

If you have accepted a proposal from us, this agreement applies to that project and sits alongside the proposal so there are no surprises later.

What we will do

We will provide tax preparation for you as a project, following the steps we set out when we start: records checklist, scope and responsibility sign-off, review of what you send, draft computation and return, a review call, then filing once you authorise submission.

The specific items we will prepare are the ones listed with this agreement. We prepare the tax computation and Self Assessment return from the information you give us, and we check what you send for gaps, category issues, and things that do not tie together. We are not auditing you, and we cannot independently verify amounts where there is no source evidence or third-party statement.

Payment

To book the work, we invoice 30% of the agreed price when you sign. We invoice the remaining 70% when the engagement is complete, which is when we have finished the work in scope and either filed your return with your approval or you have told us in writing not to file.

Each invoice is payable within 14 days of its date. If a payment is late, we will let you know what is outstanding and may pause work until the account is up to date. If pausing puts a filing date at risk, we will tell you as soon as we can so you can decide whether to proceed.

Keeping things private

We both handle private information in this process. We will keep your financial and personal information confidential and only use it to carry out the tax preparation and to communicate with you and, where needed, HMRC. Please also keep our working papers, checklists, and emails confidential if they include our processes or other clients’ information.

When the engagement ends, we will keep a copy of the final return, computation, and key working papers so we can answer later questions about what was filed. If you want copies of anything, ask and we will provide them in a sensible format. We will not share your information with anyone else unless you ask us to, or we are required to do so.

How we are engaged

We are providing tax preparation as an independent business, not as your employee. That means we decide how we organise our time and who on our team does each task, and we use our own systems and tools to do the work.

You are not responsible for our taxes, insurance, or employment matters. If you need us to coordinate with another adviser you use, we are happy to do that, but we still work for you on this project only, and only within the scope you have agreed with us in writing.

What we are responsible for

We take care in how we prepare your return, but we can only work with what you give us. You are responsible for making sure the information you provide is complete and accurate, and for confirming the final return is complete and accurate before you authorise us to file it.

If something is missed because information was not provided, was provided late, or cannot be supported with records, we cannot be responsible for resulting tax, interest, or penalties. If we make a mistake in the preparation based on correct and complete information you have provided, tell us promptly and we will work with you to put it right, including explaining the issue to HMRC and drafting a response where it relates to the return we prepared.

Ending the engagement

Either of us can end the engagement by telling the other in writing. We will agree the notice period with you in writing based on where we are in the process and any filing deadlines. If you end the engagement, you will pay for the work we have completed up to the end date, and we will explain what that covers before we invoice.

If we end the engagement, we will tell you why, what work we have and have not completed, and what you need to do next. Once any outstanding invoices are paid, we will hand over the latest draft return and computation (if prepared), plus a list of open questions or missing items so another adviser can pick up without guesswork.

Questions about this contract template

What should a tax engagement letter include?

A tax engagement letter usually covers what work gets done, what information the client must provide, who is responsible for accuracy, and how filing approval works. This one also includes payment terms, confidentiality, and how either side can end the engagement.

What do you need from me for tax preparation, and in what format?

The engagement letter makes the return dependent on the information provided and starts the process with a records checklist step. The exact records and format still need to be specified for the job you’re taking on, because the contract only describes the process at a high level.

Are you checking my figures or just entering what I send?

The contract says the preparer checks what’s provided for gaps, category issues, and items that don’t tie together. The same section also states the work is not an audit and amounts can’t be independently verified without source evidence or third-party statements.

What’s included in tax preparation and what counts as extra work?

The agreement says the specific items prepared are the ones listed with the engagement, and it frames the work as preparing the computation and Self Assessment return from provided information. Anything outside that listed scope needs to be agreed in writing, otherwise the engagement stays limited to what the letter covers.

When is payment due for tax preparation work?

The payment section invoices 30% when the client signs and the remaining 70% when the engagement is complete, either after filing with approval or written instruction not to file. Each invoice is payable within 14 days, and late payment can pause work.

If HMRC asks questions later, do you deal with it?

The responsibility section says the preparer will work to put right mistakes based on correct and complete information, including explaining the issue to HMRC and drafting a response where relevant. The confidentiality section also notes retention of key working papers so later questions about what was filed can be answered.
