A new student wants to feel safe in the room and know the teaching won’t push past their body’s limits, but the money and the risk still need clear terms. This yoga contract spells out what gets booked across yoga & pilates options, what gets paid and when, and what happens when plans change. The pages sit under Syne headings with Inter body text, with teal and cranberry-magenta accents that keep the tone steady and supervised rather than salesy.

The opening section ties the agreement to any proposal, schedule, or booking confirmation that gets accepted, so the paperwork matches what was actually offered. The terms then define what a session is, cover invoice timing and the 7-day payment window, and explain how late cancellations and no-shows get handled under the studio’s notice window. The health and scope language does the hard work: injuries and red flags get disclosed up front, ordinary risks get named without pretending teaching can be careless, and the line between movement coaching and clinical care stays clear. The final pages cover Photos and video, recurring renewals and notice, and the conduct and safety reasons sessions can end.

  • These terms cover the yoga and Connects the contract to any accepted proposal, schedule, or booking confirmation so the agreement matches what was agreed.
  • What you’re booking Defines what counts as a session, how the format gets agreed, and what a student needs to bring, including mats and props.
  • Payment Explains when invoices go out for memberships, drop-ins, and private sessions, and keeps the 7-day payment window clear.
  • Cancellations and no-shows Describes the studio’s notice window and what a late cancellation or no-show triggers, plus what happens when the studio cancels.
  • Ending sessions with us Covers how sessions can end for either side and includes the Signature block for signing.

These terms go out for signature, so the only work before sending is swapping in your names, dates, rates, and any rules your teaching runs differently. Once signed online, both sides have the same reference point for what’s booked, what’s owed, and what happens if someone needs to pause or stop.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

The contract in full

These terms cover the yoga and Pilates sessions you book with us, whether that is a drop-in class, an intro course, a private session, or a semi-private session.

If you accept a proposal, schedule, or booking confirmation from us, it becomes part of this agreement, and these terms explain how we’ll run your sessions so you know what to expect before you walk into the room.

What you’re booking

Yoga and Pilates sessions are taught in-studio or online (as agreed at booking). A session is the class, course session, or private time slot we confirm with you, for the length shown on the timetable or booking confirmation, and you’re booking the number of sessions shown on your invoice.

Please bring comfortable movement clothing and a water bottle. We have mats and props available in the studio, and you’re welcome to bring your own mat if you prefer.

Payment

We invoice memberships and terms at the start of each billing period, before the sessions in that period take place. Drop-ins, private sessions, semi-private sessions, and multi-session options are invoiced when booked, before the booked sessions happen. We’ll confirm your booking by email once we’ve got your intake details and you’re placed in the right class, course, or session time. Your spot is held once the invoice is issued.

Every invoice is payable within 7 days of its date. If a payment is overdue, we may pause future bookings until the account is brought up to date.

Cancellations and no-shows

If you need to cancel or reschedule, tell us as soon as you can so we can offer the spot to someone else. Our cancellation notice window is set by the studio and we apply it consistently across the schedule.

If you cancel inside that notice window, or you do not show up, we treat it as a late cancellation or a no-show. The studio sets whether that means a fee, a session being deducted from your pack, or a session being counted as used. If we need to cancel (for example, teacher illness or an unexpected studio closure), we’ll offer you a make-up booking or credit. We don’t charge you for sessions we cancel.

Packs, courses, and memberships

If you buy a pack, course, block, or membership, you use it by booking sessions from it. We’ll tell you what it covers at the time you buy, including which classes it can be used for and any booking rules for that option.

Whether unused sessions carry over and whether a pack or membership has an expiry date are set by the studio. If there is an expiry window, we’ll tell you the dates when you buy it. Refunds are not available once an option has started, except where we agree in writing in advance (for example, if we cancel a course and you can’t attend the replacement dates).

Your health and injuries

Before your first session, please share anything that could affect your practice, including injuries, recent surgery, pregnancy, dizziness or fainting, relevant medical conditions, allergies (including latex), and any advice you’ve been given by a clinician about what to avoid. If anything changes, tell us before your next session.

During a session, you’re always in charge of your body. If something feels sharp, numb, unstable, or wrong, stop and tell us right away. We may offer modifications, change the plan, or pause part of the session to keep things safe, including suggesting you sit out a movement that does not fit what’s going on for you that day.

Risks you should know about

Yoga and Pilates sessions involve movement, balance, strength work, and time on hands, knees, hips, and shoulders. Like any physical activity, there’s a chance of soreness, strain, aggravating an existing issue, or losing balance.

By booking and attending, you’re choosing to take part with an understanding of those ordinary risks. This does not mean we can be careless. We still take reasonable care with how we teach, how we cue, and how we manage the room. We also can’t promise that nothing will ever go wrong, even when we pace the class well and offer options.

What we are not

Yoga and Pilates sessions are movement coaching and education. They are not medical care, physiotherapy, massage therapy, or counselling. We don’t diagnose injuries, interpret imaging, or prescribe treatment, and we can’t guarantee a particular physical outcome.

If you’re under the care of a clinician, or you’re returning from an injury, we’re happy to work alongside that plan when you tell us what you’ve been advised to do or avoid. If something comes up that’s outside our scope, we may suggest you check in with an appropriate regulated professional before continuing or before trying a specific movement.

Photos and video

Sometimes we offer to take a quick photo or video to support your learning (for example, to show alignment changes over time), or we may take general studio content. We only photograph or film you with your permission.

You can say no, or you can say yes to filming for your own reference but no to sharing publicly. You can also withdraw permission later. Your choice about photos or video will not change your access to yoga and Pilates sessions, our attention in class, or how we coach you.

Ongoing billing

This agreement is set up as recurring, which means your membership or term renews each billing period unless we confirm a change with you. We invoice at the start of each period, before the sessions in that period take place, and each invoice is payable within 7 days of its date.

If you want to stop, pause, or switch your recurring option, tell us in writing. The notice period is set by the studio and we’ll confirm it with you in writing for your account, including the date your current period ends and what happens to any sessions already booked in that period.

Ending sessions with us

You can end this arrangement by telling us in writing. We’ll confirm what happens next based on what you’ve already paid for, what’s already booked, and the studio’s current notice rules for recurring options.

We may also end or pause sessions if a client’s conduct makes sessions unsafe or disruptive. This includes harassment, ignoring safety instructions after being reminded, or behaviour that risks injury to you, other clients, or our team. If this happens, we’ll tell you what the issue is, and we may cancel future bookings. Any refund or credit for unused, prepaid sessions will depend on the option you bought and the reason sessions ended, and we’ll confirm it with you in writing.

Questions about this contract template

What should a yoga contract include?

A yoga contract usually covers what’s being booked, how payment works, and what happens when a class gets cancelled or missed. The same document often includes health and injury disclosures, an ordinary-risks acknowledgement, and media permission for photos or video.

Do students have to disclose injuries before a class?

A contract can ask students to share anything that could affect practice before the first session, then update the teacher if anything changes. The template also states that students stay in charge of their bodies and should stop and speak up if something feels sharp, numb, unstable, or wrong.

What do cancellation and no-show terms look like for yoga classes?

Studios typically set a cancellation notice window, then treat anything inside that window as a late cancellation or a no-show. The template leaves the consequence to the studio’s rule, such as a fee, a session deduction, or counting the session as used.

Can a yoga teacher promise a specific physical outcome?

A yoga contract can state that sessions are movement coaching and education, not medical care, and that no particular outcome is guaranteed. The same section can also explain how teaching can work alongside a clinician’s plan when the student shares what they’ve been advised to do or avoid.

Do you need permission to take photos or video in a yoga studio?

Consent should be explicit, and a student should be able to say yes for private learning and no for public sharing. The template also allows permission to be withdrawn later, without affecting access to sessions or attention in class.

How do recurring memberships and billing terms usually work?

Recurring terms typically renew each billing period unless a change gets confirmed in writing. The template invoices at the start of each period, keeps the 7-day payment window consistent, and requires written notice to stop, pause, or switch, with the studio confirming the notice period and end date.
