The contract in full

It covers childcare I provide for your child on a recurring schedule, starting after our enrollment meeting and after I send you written confirmation of your child’s days and hours. If you accepted a proposal from me, that proposal and this childcare Contract are meant to fit together, with these terms explaining how care runs day to day and what happens when plans change.

What childcare includes

Childcare covers the care block and routines I confirm with you in writing, on the days and times we agree. Each period, I provide the care below during your confirmed hours:

Anything outside your confirmed childcare hours or outside the agreed care plan is not included. If you ask for extra time or an added day, I will confirm availability and the price in writing before I provide it.

Day-to-day communication

I run care on the confirmed schedule, with drop-off and pickup handled at the door as a direct handoff. I share updates through the method we agree at enrollment, including an end-of-day update.

If something affects the safety of care or the ability to stay open that day, I treat it as urgent and I will contact you as soon as I can. For routine questions and schedule requests, I respond within the response time I set for my childcare plans, and I will tell you if I need more time to check availability. If I miss a service level I set, I will explain what happened and confirm the next steps in writing.

Payment

Childcare is billed as recurring care. Each period is invoiced at the start of that period, and nothing is paid up front beyond that invoice. Every invoice is payable within 7 days of its date.

Your invoice covers the confirmed childcare hours for that period. If you request extra time or an added day and I confirm it in writing, I will either add it to the current invoice or issue a separate invoice for that period. If an invoice becomes overdue, I will tell you what I need in order to keep your child’s schedule reserved, and I will confirm any pause of care in writing so there are no surprises at drop-off.

Price changes

I review my childcare prices at the interval I set for my childcare plans. When I plan to change your price, I will give you written notice before the new price applies.

That notice will tell you the new rate, the date it starts, and what it means for your next period invoice. If you want to change days or hours because of a price change, tell me and I will confirm what I can offer in writing. If we cannot find a schedule that works, you can end care using the notice period I set for my childcare plans, and I will confirm the end date and any final invoice in writing.

Drop-off and pickup access

I need safe, predictable access for drop-off and pickup at the agreed handoff point. At enrollment, you will tell me who is dropping off most days, who is picking up most days, and anything I should know about parking, gates, intercoms, or building rules that affect handoff.

If I need a door code, gate code, or other access detail to do handoff safely, share it with me in person or through the secure method I name at enrollment. Please do not send codes, photos of IDs, or sensitive information in a web form or a standard email. If access details change, tell me before the next care day so pickup does not turn into a delay at the door.

What I need from you

For childcare to run smoothly, you agree to keep one main contact method active and to check messages that affect the day, like schedule changes, closure notices, or urgent questions.

You will provide your child’s daily items as needed, including diapers, wipes, formula or breastmilk, bottles, a change of clothes, and any comfort item you want included at nap time. You will give me up-to-date written notes on allergies, food restrictions, and anything that changes your child’s routine. You will also keep your authorized pickup list current and tell me right away when someone should be added or removed, so there is no confusion at the door.

Insurance

I carry insurance that fits the childcare I provide. If you want to see confirmation of coverage, ask and I will provide what I can.

On your side, you are responsible for health coverage for your child and for keeping emergency contact details current. If your child has an allergy plan, medical plan, or any condition that needs a specific response, you agree to explain it clearly at enrollment and put the key points in writing so I can follow it day to day. I cannot accept responsibility for instructions I was not told about or that were not updated when something changed.

If something goes wrong

If your child is hurt or an incident happens during childcare hours, I will document it the same day and tell you what I saw and what I did. If I believe your child needs medical attention beyond basic first aid, I will contact you right away and follow the emergency contacts you provided.

If your child’s belongings are damaged during care, tell me in writing as soon as you notice. I will do the same if something is damaged because of items sent from home or something a child brings in. We will talk through what happened and agree, in writing, how it will be put right. If a cost needs to be covered, I will confirm the amount and how it will be paid before charging anything.

No direct hiring

The childcare you are paying for includes the time and effort it takes to set up routines, keep records, manage schedules, and provide steady care week to week.

This also applies for the period after care ends that I set for my childcare plans. If you want to discuss a different arrangement, talk to me first. If I agree to any change, I will confirm it in writing so we both know what has been decided.

How recurring care runs

Childcare is booked and billed in repeating periods, based on the schedule I confirm with you in writing. At the start of each period, I issue the invoice for that period, and your child’s reserved days and hours continue into the next period unless either of us gives notice to end care.

If you need to change your schedule, switch days, or end care, tell me with the notice period I set for my childcare plans. I will confirm the effective date in writing, along with any remaining invoice that covers time already reserved. If you are unsure what notice applies, ask before making other childcare plans and I will point you to it in writing.

What I’m responsible for

I am responsible for providing childcare during your confirmed hours and following the routines and written instructions we agree at enrollment, including allergy notes and written medication instructions. I also keep the daily records I’ve listed in this childcare Contract.

I cannot take responsibility for losses that happen outside childcare hours, including travel to and from care, items lost after they leave with you at pickup, or problems caused by incomplete or outdated information you gave me (for example, an old authorized pickup list or missing allergy details). I also cannot guarantee care during events outside my control, like building access issues, utility outages, or public safety emergencies. When something like that happens, I will tell you as soon as I can and confirm next steps.

Ending care

Either of us can end recurring childcare by giving the notice period I set for my childcare plans. I ask for notice in writing so I can confirm the last day of care and so there is no confusion about pickup expectations.

You will pay for childcare provided up to the end date, including any time already reserved and invoiced for the current period. If care ends partway through a period, I will confirm in writing what is still due and what will be adjusted, if anything, based on my plan rules. At the end of care, I will provide the records I normally share with you (like incident notes and medication documentation) up to the last day, and I will confirm any remaining items to be picked up from cubbies or storage.
