Furniture gets wrapped, door frames get padded, and the whole house can feel like it’s moving at once, which means the paperwork has to keep up when something gets marked or goes missing. This moving services contract gives the move a written plan to follow, so the scope stays clear, the handover has a checkpoint, and damage gets handled by notes and remedies instead of an argument. The document sits on anodised blue accents with Zilla Slab headings, so the important parts read like labeled crates and checklists rather than fine print.

The opening section ties the contract back to the accepted quote and the schedule and pricing inside it, then the Scope of work names what’s included and what only happens with a written change, starting from the walk-through that checks access, stairs, carry distance, and volume. Payment spells out the 40% booking payment, the 60% due after delivery, placement, basic reassembly, and a walk-through, plus invoice timing and what happens when an account goes overdue. The later sections cover who owns the finished result versus internal moving methods, what kind of photos can be taken and used as references, and how damage is documented and agreed, including specific handling for delicate finishes like lacquered surfaces and shoji.

  • Scope of work Starts from the walk-through, then lists what’s included in the move and what needs a written change, like extra stops or specialist crating.
  • Payment Uses a 40% booking payment and a 60% final payment after delivery, placement, basic reassembly, and a walk-through, with invoices due within 14 days.
  • Damage and responsibility Explains how condition gets noted, how protection gets handled on site, and how a remedy is agreed if damage happens in the crew’s care.
  • Ending the project Covers cancellations and date changes per the quote, plus what happens if either side has to stop the move for safety or practicality.

Once the wording matches your job, you fill in the names, dates, and rates, then send the contract alongside the quote the client already accepted through proposals. The client signs online, and the signed copy records what was agreed before the crew and truck get committed on move day.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a moving services contract

PartWhat it covers

This Moving Services Contract covers the

Links the contract to the accepted proposal, including the schedule and pricing, and sets the expectation that issues get handled through documentation and fixes rather than on-site blame.

Scope of work

Describes the walk-through checks and the move plan, then draws a line between included deliverables and anything that needs a written change before it goes ahead.

Payment

States the deposit and final payment timing, how invoicing and due dates work, and what happens if payments fall behind or dates change.

Changes

Defines one planned change round after the walk-through, then requires pricing and written approval for anything that changes time, crew, truck size, or materials.

Who owns what

Clarifies what the client receives once invoices are paid in full and keeps internal planning documents, checklists, and methods with the moving company.

Photos and references

Sets boundaries for what can be photographed, and lets the client opt out in writing if the move needs to stay private.

Damage and responsibility

Explains how condition gets noted and protected before loading, then covers how damage is documented and resolved, including extra care for delicate finishes.

Ending the project

Explains cancellation and rescheduling based on the quote, and includes a signature block for ending the project or confirming what was completed if the work stops early.

Who it is for

Moving companies handling residential moves, commercial relocation, or packing services where the client needs the scope, payments, and damage responsibility written down before move day.

The contract in full

This Moving Services Contract covers the home and office moving project you are booking with us, along with the schedule, pricing, and details in the proposal you accepted. It is written to keep the move calm and accountable: we agree the plan up front, we protect and label as we go, and we sort issues by documenting them and fixing them, not by arguing on site.

Scope of work

We will provide home and office moving for your project as set out in the accepted proposal, including the move approach we confirmed at the walk-through. That walk-through is where we check access, parking, stairs or elevators, carry distance, and volume room by room, then set the truck size, crew count, and timing.

The deliverables and inclusions for this project are listed below. Anything not listed is not included unless we add it as a written change, for example an extra stop, storage time, specialist crating, or moving items that were not accessible or not disclosed at the walk-through.

* Pre-move walk-through notes * Truck and crew plan * Room-by-room carton labels * Protection and wrap set * Furniture disassembly and reassembly * Essentials unpack and carton removal

Payment

To book home and office moving, you pay 40% of the agreed price when you sign the proposal. We reserve the crew and truck from that point and order any planned materials.

The remaining 60% is due when the finished work is handed over, which is after delivery is complete and we have done the agreed placement and basic reassembly, then the walk-through with you. We invoice as we go, and each invoice is payable within 14 days of its date.

If a payment is late, we will tell you what is outstanding and pause any non-urgent work we still control until the account is brought up to date. Date changes or cancellations follow the fees and timing shown in your quote for that date.

Changes

Moves change, but the plan still needs to stay readable. We include one planned change round after the walk-through, where we can adjust the truck and crew plan and packing plan based on what we saw on site. This covers normal refinements, like swapping what gets packed on packing day versus move day, or updating the order of rooms.

If you want changes beyond that, or anything that changes time on site, crew size, truck size, or materials, we will price the change and get your written approval before we do it. Common examples are an added pickup or drop-off, extra heavy items, building restrictions that force longer carry distance, or items that were not ready or accessible when we arrived.

Who owns what

When your invoices are paid in full, what you have bought is the finished result of the project: your items moved to the agreed destination, placed where you direct, with the agreed packing and unpacking, and any disassembly and reassembly included in the plan.

Our working documents and methods stay ours. This includes walk-through notes, truck and crew planning sheets, labeling systems, checklists, and the way we stage and protect routes. You are welcome to ask for a copy of practical move information we created for your job, like a final room list or label key, but we do not hand over internal templates or training materials.

Photos and references

We sometimes take simple before-and-after photos of protection, packing, or a finished room setup to help us improve and to show future clients how we work. We will not photograph private documents, personal photos, or anything you point out as sensitive.

Unless you tell us otherwise in writing, you agree we can use non-identifying photos and a short description of the job as a portfolio example. If you want the move kept fully private, email or message us before move day and we will mark the job as no-photos and no-public-reference. If we have already taken photos for internal records, we will keep them private and not use them publicly.

Damage and responsibility

We treat damage risk as something to manage, not debate. Before loading, we note condition where it matters, especially on delicate finishes, and we flag anything we think is already weak or at risk. We protect floors and corners first, then wrap items before they move. For lacquered surfaces, shoji, gold-leaf screens, and soft timber edges, we avoid bare strap contact, use clean wrap layers, and carry from protected grip points.

If damage happens while an item is in our care, we will document it, show you what we see, and agree the remedy with you. We are not responsible for issues caused by things outside our control, such as items that were already damaged, hidden defects, poor prior repairs, contents not packed by us that shift inside cartons, or access delays and building rules that force unsafe handling or extra waiting time.

Ending the project

If you need to cancel or change the date, tell us as soon as you can so we can try to rebook the crew and truck. Any cancellation or late-change fees are the ones shown in your quote for that date.

Either of us can also end the project if something serious makes the work impractical or unsafe, for example repeated access blocks, unsafe carry routes, or instructions that would put people or property at risk. In that case, we will stop, explain the issue, and confirm in writing what has been completed.

If the project ends before completion, you pay for work already done and any committed materials or third-party costs we cannot undo. We will hand over your items in our possession at the earliest safe handover point, and we will share any labeling or location notes needed to keep track of what has been packed and moved.

Questions about this contract template

What should a moving services contract include?

A moving services contract usually covers the scope of work, what’s included versus extra, payment timing, how changes get approved, and how damage is handled. This contract also covers photos and references, ownership of deliverables and internal methods, and how either side can end the project.

Do movers need a contract for a home or office move?

A written contract helps keep the move accountable when timing shifts, access changes, or damage questions come up. This contract ties the job to the accepted quote and puts the scope, payment milestones, and change rules in one place.

How do moving contracts handle damage claims?

A moving contract can define when items are considered in the mover’s care, how condition is noted, and how damage is documented and remedied. This template focuses on documenting what happened and agreeing the remedy, including handling notes for delicate finishes.

How do deposits and final payments usually work for movers?

Many moves use a booking payment to reserve the crew and truck, then a final payment once delivery and placement are complete. This template uses 40% at booking and 60% after delivery, placement, basic reassembly, and a walk-through, with invoices payable within 14 days.

How do you handle changes to a move after the walk-through?

A contract can allow small refinements while requiring written approval for anything that changes time on site, crew size, truck size, or materials. This template includes one planned change round after the walk-through, then prices and confirms further changes in writing.

Can a moving company use before-and-after photos from a move?

A contract can allow non-identifying photos for portfolio or internal improvement while giving the client a way to opt out. This template avoids photographing sensitive items and lets the client request no photos and no public reference in writing before move day.
