Lessons are meant to build steady progress week to week, but the sticky part is agreeing what’s actually being booked and what happens when practice, diaries, or confidence wobble. The music lessons contract gives those parts clear wording, including Payment, cancellations, and the point where lessons stop being the right fit. The pages sit under Raleway headings with a workshop green accent and a bright purple call-to-action, so the signature doesn’t get buried.

The opening section introduces the tutor and spells out what this agreement covers, then What you’re booking describes the session format, the regular slot, and what the student brings. Cancellations and missed lessons and Using a term or pack explain late notice, make-up options, and what happens to unused sessions, while What lessons can and can’t do draws a line between coaching and guaranteed results or medical advice... and says what matters if playing or singing is affected by pain or injury.

  • Tutor and agreement Introduces the tutor and explains how the contract fits alongside any proposal or booking confirmation.
  • What you’re booking Defines the lesson setup, the regular weekly slot, and what the student brings to sessions.
  • Payment States invoicing in advance and the 7-day due window, including what holds a recurring slot.
  • Cancellations and missed lessons Covers notice, late-cancellation and no-show fees, and when a missed session can be made up or credited.
  • Ending lessons Explains how either side ends lessons, what happens to prepaid sessions, and when lessons may end immediately for safety or disruption.

What happens next is straightforward: you replace names, dates, and rates with your own terms, send the contract, and the client signs online. The signed copy then sits alongside any proposal or booking confirmation you already agreed, so both sides can refer back to the same terms when scheduling or billing comes up.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

The contract in full

I’m Hannah Sykes, and I’ll be the tutor you see week to week.

This agreement sets out how your lessons run, how booking and billing work, and what happens if either of us needs to change a session. If you’ve accepted a proposal or booking confirmation from me, this agreement sits alongside it and they should be read together.

What you’re booking

A session is a one-to-one or small-group lesson at the length you’ve chosen (for example, 30 or 60 minutes), held at the location agreed when you book, and scheduled into a regular weekly slot. Please bring your instrument (or anything you normally sing with, like your water bottle), any music you’re working on, and a notebook or device for practice notes. You’ll have the number of sessions shown on your invoice for the term or membership period you’ve booked.

Payment

Music lessons are invoiced in advance. If you’re booking a term or a membership period, I invoice at the start of each period, before the sessions in that period take place. If you book a one-off session, I invoice when it’s booked, before the session goes ahead.

Every invoice is payable within 7 days of its date. Your regular weekly slot is only held once the term or period you’ve booked is in place, so please tell me quickly if there’s a problem with an invoice and I’ll help you sort it.

Cancellations and missed lessons

If you need to cancel a lesson, please tell me as soon as you can. My notice period is set by me and I confirm it in writing when you book. If you cancel after that point, or you do not attend (including online lessons where you do not join), I may charge a late-cancellation or no-show fee that I set and explain in writing.

If you miss a lesson, it can sometimes be made up, depending on diary space. I’ll offer the options I have, but I can’t promise an alternate slot every time. If I have to cancel, I’ll offer a reschedule or credit the session.

Using a term or pack

When you book a term, block, or membership period, your sessions are used up as they’re delivered week to week in your regular slot. If you want to add an extra session (for example, ahead of an exam), I’ll offer what I can around my diary and invoice it in advance.

Unused sessions do not automatically carry over, because I’m reserving a weekly space for you. If I do allow carry-over, I’ll confirm what carries and by when in writing. Refunds are not usually offered once a term or period has started, unless I’m unable to deliver the remaining sessions.

If lessons are for a child

If the student is under 18, a parent or guardian is the person who agrees to these terms and is my main contact for booking, messages, and payment. Please make sure I have the right email and mobile number for you, not just the student’s.

You’re responsible for safe drop-off and collection, including arriving on time. If a child is attending in person, I need a clear plan for who is bringing them in and who is picking them up. If anything changes week to week, please tell me before the lesson starts.

What lessons can and can’t do

Music lessons are teaching and coaching. I’ll show you what to practise next, help you build reliable habits, and track progress term by term, but I can’t guarantee a specific result by a specific date. Progress depends on things like practice time, school workload, health, and confidence on the day.

Lessons are not therapy, counselling, or medical care. If you’re dealing with pain, injury, or a health issue that affects playing or singing, please speak to the right medical professional and tell me what guidance you’ve been given so I can adapt safely.

Ongoing booking and billing

Music lessons are booked on a recurring basis, usually as a weekly slot for the term or membership period shown on your invoice. At the start of each new period, I invoice before those sessions take place, and your weekly time renews in line with that booking.

If you need to change your weekly slot, I’ll offer the options I have around my diary. If you want to stop lessons at the end of a period, or pause for a while, tell me using the notice I set and confirm in writing. I’ll confirm the final session date once you give notice.

Ending lessons

Either of us can end the ongoing arrangement by giving the notice that I set and confirm in writing. If you’ve already paid for sessions that haven’t happened yet, I’ll either deliver them within the agreed timetable or, where that isn’t possible, I’ll sort a fair outcome with you based on what’s been delivered and what’s still outstanding.

I may also stop lessons straight away if behaviour from a student or anyone attending with them makes sessions unsafe or unsuitable, or if repeated disruption means I can’t teach properly. If that happens, I’ll explain what’s led to the decision and what happens to any sessions already paid for.

Questions about this contract template

What should a music lessons contract include?

A music lessons contract usually covers what’s being booked, how billing works, and how cancellations and missed sessions are handled. This one also covers recurring booking renewal, teaching boundaries, and how lessons end.

Do music lessons get paid in advance?

Many tutors invoice in advance, especially for terms or membership periods, so the weekly slot is held once the period is booked. This contract states that invoices are payable within 7 days of the invoice date.

Can a missed lesson be made up?

A make-up lesson depends on diary space, and a tutor may not be able to offer an alternate slot every time. This contract explains late notice, no-shows, and the options offered when a tutor cancels.

What happens to unused lessons in a term or lesson pack?

Unused sessions often don’t carry over automatically because the tutor is reserving a weekly space. This contract explains when carry-over might be allowed and when refunds are and aren’t offered.

Do parents need to sign music lesson terms for a child?

When the student is under 18, a parent or guardian typically agrees to the terms and becomes the main contact for booking, messages, and payment. This contract also asks for a clear drop-off and collection plan for in-person lessons.

Can a tutor guarantee exam results or progress by a deadline?

A tutor can teach and track progress, but a guaranteed result by a specific date usually isn’t realistic because progress depends on practice time, workload, health, and confidence. This contract also clarifies that lessons aren’t therapy or medical care and asks students to seek medical guidance for pain or injury.
