Paperwork has a way of turning urgent right when the signature has to be right the first time. A notary contract gives the signer clear rules for a notary & signing appointment so the meeting doesn’t get derailed by the wrong ID, missing pages, or a signature in the wrong place.

The agreement starts by defining what the notary is being booked for, then spells out what happens during the session, including ID check and signer screening, whether any pages can be pre-signed, and who provides documents and valid photo ID. Payment terms separate state-set notarial act fees from travel or appointment charges, and the cancellations section ties any late-cancel or no-show fee to a window confirmed in writing. Headings sit in Lora over Roboto body text, with deep enamel green accents that keep the tone procedural without looking like a sales pitch... and the “what we can’t do” section draws a firm line between witnessing and legal advice.

  • It covers the notary and signing Frames what the appointment is for and how this agreement fits alongside any written booking confirmation.
  • What you’re booking Defines a session and covers ID checks, signer screening, pre-sign instructions, and what the signer needs to bring.
  • Payment States when sessions get paid, separates notarial act fees from travel or appointment fees, and notes a 14-day invoice term when invoiced.
  • Cancellations and no-shows Explains how rescheduling works and how late-cancellation and no-show fees follow the window confirmed at booking.
  • What we can’t do Sets boundaries on legal advice and points signers to the lender, court, hiring party, or a lawyer for document questions.

It stays a contract all the way through: you replace names, dates, and rates with your own, send it to the signer, and the signer accepts and signs online.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a notary contract

PartWhat it covers

It covers the notary and signing

Explains what the notary is being booked to do and how the agreement supports a written booking confirmation so the scope stays clear.

What you’re booking

Defines what happens in a session, including ID checks, signing rules, and what gets confirmed during scheduling.

Payment

Covers paying in advance, how totals are confirmed, and why notarial act fees are listed separately from travel or appointment fees.

Cancellations and no-shows

States how cancellation windows and fees are handled, and what happens when the notary has to cancel and refund or reschedule.

Meeting at your home

Covers access requirements for home appointments, how entry codes are shared and handled, and when a missed entry becomes a no-show.

What we can’t do

Separates identity screening and notarization from legal advice, and explains what to do when a signer has content questions.

Ending the arrangement

Explains how either side can end the arrangement and what happens next to unused sessions, and it includes a Signature block.

Who it is for

Mobile notaries, loan signing agents, and apostille services that book signing appointments and need the signer to agree to ID, payment, and cancellation terms.

The contract in full

It covers the notary and signing you book with us, whether that is a single notarization, a document signing appointment, or a loan package signing.

If you have an accepted proposal or written booking confirmation from us, this agreement goes with it. Together, they explain what you asked us to do, what we will do at the appointment, and the practical rules that keep your documents from getting rejected for avoidable reasons.

What you’re booking

A session is one scheduled appointment for notary and signing at the agreed location, with time for ID check and signer screening, watching you sign (unless your hiring party has given written instructions to pre-sign specific pages), and completing the notarial certificate. We will confirm the address, number of signers, document type, and whether witnesses or scanbacks are needed when you book. Please bring the documents (unsigned), and a government-issued photo ID for each signer that is current in most cases and in good condition.

Payment

Sessions are paid for in advance. If you book a single session, you pay when you book so the time is held for you. If you purchase a pack, the pack is paid before its first session.

We will give you a written total before you confirm the appointment. Notarial act fees are set by state rules and depend on the type of notarization, so we list those separately from any travel or appointment fee. If we invoice you for anything, every invoice is payable within 14 days of its date.

Cancellations and no-shows

If you need to cancel or reschedule, tell us as soon as you can. When you book, we will confirm our cancellation window in writing, along with any late-cancellation fee and any no-show fee. If you cancel inside that window, or nobody is available to sign at the appointment time, we treat it as a late cancellation or no-show and apply the fee we already confirmed.

If we have to cancel on our side, we will contact you as soon as we know and offer a new time. If rescheduling does not work, we will refund any session payment you have already made for the appointment we cancelled.

Meeting at your home

If we are meeting at your home, you are responsible for making sure we can enter at the booked time. If there is a gate, building entry, or door code, share it with Daniel during scheduling using a direct message or phone call. We use it only to reach the appointment and we do not store it longer than needed for that booking.

An adult signer must be present for the appointment. We cannot accept keys left under mats, in lockboxes, or with neighbors. If we cannot get in within a reasonable time, the appointment may be treated as a no-show, and the no-show policy confirmed at booking will apply.

What we can’t do

Notary and signing is about identity screening, witnessing signatures when required, and completing the notarial certificate correctly. We are not attorneys, and we cannot tell you what a document means, whether you should sign, which option to choose, or how to fill in blanks that are not part of the notarial certificate.

If you have questions about the content of the document, bring written instructions from the hiring party, or contact the lender, title company, school, court, or your lawyer before the appointment. We can pause so you can make a call, but we cannot answer legal questions for you.

Ending the arrangement

You can end this arrangement by telling us in writing that you no longer want to move forward. If you have sessions already booked, the cancellation window and any late-cancellation or no-show fees we confirmed at booking still apply.

If you have paid for sessions that have not been used, we will either reschedule them or refund them, depending on what you purchased and what has already been reserved or performed. We may also end the arrangement and decline future appointments if a signer’s conduct, the environment, or repeated last-minute changes make sessions unsafe or unworkable. In that case, we will confirm what happens next for any sessions you have already paid for.

Questions about this contract template

What kind of ID is acceptable for a notarization, and does it need to be current?

A notary contract typically asks each signer to bring a government-issued photo ID that’s current in most cases and in good condition. The exact ID rules can vary by state and situation, so the contract keeps the expectation clear before the appointment.

Do documents need to be signed before the notary appointment?

The contract describes signing in front of the notary, with an exception when the hiring party gives written instructions to pre-sign specific pages. The notary still completes the notarial certificate at the appointment.

Do I pay before the notary appointment?

This contract states that sessions are paid in advance, either at booking for a single session or before the first session in a pack. The agreement also says a written total is provided before the appointment is confirmed.

Do notaries charge travel fees on top of notary fees?

This contract separates notarial act fees from any travel or appointment fee. Notarial act fees are described as state-set and dependent on the type of notarization, which is why they’re listed separately.

What happens if I cancel or miss a notary appointment?

The contract ties late-cancellation and no-show fees to a cancellation window that gets confirmed in writing at booking. The same section explains that a notary-side cancellation triggers a reschedule offer or a refund of any session payment already made for the cancelled appointment.

Can a notary explain what a document means or tell me what to choose?

The contract says the notary can’t provide legal advice or tell a signer what a document means, whether to sign, which option to choose, or how to fill in blanks outside the notarial certificate. The agreement points signers to the hiring party’s written instructions or to the lender, title company, school, court, or a lawyer for those questions.
