Steady weekly progress sounds simple, but piano lessons can drift when practice slips, missed weeks pile up, and nobody feels sure what the studio expects. The Piano Lessons Contract puts the expectations in writing so the student or parent knows what the weekly slot includes, how payment works, and what happens when a week goes sideways, before the first lesson is booked. The pages use deep teal with warm brass accents under Raleway headings and Inter body text, so the terms read like a schedule, not a sales pitch.

The contract moves from confirming the lesson format to spelling out what gets booked each week and what gets billed in advance, including when an invoice is due and what happens when payment runs late. The missed-lesson wording covers cancellations from either side, make-up options when a slot exists, and how the studio treats no-shows, leaving less room for “I thought it carried over” conversations. Child students and in-home lessons each get their own terms, and the document also draws a clear line around what lessons can and can’t do, including exam prep that still can’t promise a result.

  • We will confirm your lesson format Defines the teaching setup (in-studio, in-home, or online) and ties the contract to any accepted terms from proposals so expectations stay consistent.
  • Payment States that lessons are invoiced in advance by period, sets the due window, and explains how the weekly slot is held and what may happen if payment runs late.
  • Missed lessons Explains how cancellations, late cancellations, and no-shows are handled, and when a make-up, credit, or alternate slot may be offered.
  • Ending lessons Covers notice to end the recurring slot, how prepaid undelivered lessons get handled under the studio’s policy, and includes the acceptance signature.

In Plutio, the contract sends as a contract, and the client signs online once the names, rates, and policies match the studio’s real terms.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a piano lessons contract

PartWhat it covers

We will confirm your lesson format

Confirms where lessons happen and how the contract fits alongside any accepted terms, so the first booking doesn’t start with mismatched expectations.

What you’re booking

Describes the recurring weekly slot and what a live one-to-one session includes, so the student or parent knows what the lesson time is for.

Payment

Explains billing in advance by period, when invoices are due, and what happens if payment is late before the weekly slot is treated as confirmed.

Missed lessons

Covers cancellations from either side, make-up options when an alternate time exists, and how fees and credits follow the current policy for that period.

Using your block

Defines how a term or period is used, what carry-forward and expiry rules apply, and when a credit or refund may apply if lessons can’t continue on the studio’s side.

For child students

Names the responsible adult for communication and payment, and sets drop-off and collection expectations so lessons don’t turn into handover disputes.

In-home lessons

Sets access and safety requirements for teaching at home, including what happens when entry or the space prevents the lesson from running as booked.

What lessons are not

Draws boundaries around practice responsibility, factors outside the teacher’s control, and how exam preparation fits without guaranteeing a result.

Ongoing schedule

Explains how the recurring weekly slot renews by period, how notice works, and how changes get handled cleanly at period boundaries.

Ending lessons

Spells out how lessons end with notice, when immediate termination may apply for safety or conduct, and carries the Signature acceptance so both sides have a clear record.

Who it is for

Piano teachers and music studios booking weekly instrument lessons, including teachers who also offer vocal coaching or theory & composition alongside the main slot.

The contract in full

We will confirm your lesson format (in-studio, in-home, or online) before we book your first lesson so your setup stays consistent week to week.

By booking and attending lessons, you are agreeing to the terms below. If you have accepted a proposal from us for weekly piano lessons, this contract and the accepted proposal are meant to fit together, with the same expectations about scheduling, payment, and how we run the work.

What you’re booking

Weekly piano lessons are a recurring weekly slot. Each session is a live, one-to-one lesson with your teacher at the agreed location (our studio, your home, or online) for the length shown on your booking and invoice. Bring your music books or digital scores, a pencil, and your practice notes if you keep them, so we can keep the lesson moving and leave you with a usable plan for the week.

Payment

We invoice weekly piano lessons in advance, at the start of each period, before the lessons in that period take place. We do not take payment beyond the current period.

Each invoice is payable within 7 days of its date. Your regular weekly slot is held for you once the period is invoiced. If payment is late, Graham (our studio coordinator) will contact you to sort it out and may pause upcoming bookings until the account is up to date, so nobody is guessing about whether the time is still yours.

Missed lessons

If you need to miss a week, tell us as soon as you can. Our cancellation notice window, late-cancellation fee, and no-show fee are set by us. We will tell you the current policy before you start and we will keep it consistent for that period.

If we have an alternate slot in the same week, we will offer it. If we do not have a workable slot, the lesson is treated as missed and the policy for your booking applies. If we need to cancel (for example, illness or an unavoidable conflict), we will offer a make-up option or credit that lesson to you.

Using your block

Your weekly block (whether you think of it as a term, a membership, or a period) covers the lessons scheduled inside that period. Lessons are booked from that block into your regular weekly slot, and any make-ups are only offered when we have a workable alternate time.

Whether unused lessons carry forward, how many make-ups we allow, and whether the block expires are set by us. We will give you that policy before you start. Refunds are not offered for missed lessons, but if we have to stop lessons on our side and cannot reasonably provide the remaining sessions, we will settle any unused, paid lessons fairly by credit or refund.

For child students

If the student is under 18, a parent or legal guardian is the main contact for scheduling, messages, and payment, and agrees to these terms on the student’s behalf. We will take the student’s goals seriously, but we need one adult to make decisions and keep communication simple.

You are responsible for drop-off and collection, and for letting us know who is allowed to pick the student up. If a child arrives without a responsible adult available when needed, or cannot be collected on time, we may end the session early to keep things safe and clear for everyone.

In-home lessons

For in-home weekly piano lessons, you will make sure we can get in at the booked time and that the piano or keyboard is set up and ready to use. If you use a key, entry code, concierge, or any other access method, you will show Graham (our studio coordinator) what to do ahead of the first visit. We do not write access codes into shared documents, and we only share access details with the teacher assigned to you.

An adult should be home for the lesson unless we have agreed otherwise in writing. If we cannot get in at the booked time, or the space is not available or safe to teach in, the lesson is treated as missed and the missed-lesson policy for your booking applies.

What lessons are not

Weekly piano lessons are teaching and coaching. We can set a practice plan, demonstrate technique, help with posture and hand shape, and keep you moving through repertoire, but we cannot practice for you between lessons.

Progress also depends on things we cannot control, like time, sleep, stress, health, learning pace, and what else is going on in the week. If you choose RCM exam prep coaching as part of weekly piano lessons, we will use the RCM syllabus and track requirements, but we cannot guarantee an exam result. If you need medical, mental health, or other specialist support, please seek the right licensed professional.

Ongoing schedule

Weekly piano lessons run as a recurring weekly slot, billed by period. At the start of each period we invoice for the lessons in that period, and the next period renews automatically unless one of us ends the recurring slot.

To stop the recurring slot, either of us gives notice. The notice period is set by us and we will confirm it with you in writing before you start. We will always aim to make changes cleanly at the end of a billing period so you are not paying for time you cannot use and we are not holding a slot you no longer want.

Ending lessons

You can end weekly piano lessons by giving the notice we have agreed in writing. Any lessons already delivered are still payable. Any lessons already invoiced but not yet delivered will be handled based on the policy we gave you for that period, and we will confirm in writing what happens to your remaining dates.

We can also end lessons if your conduct, or the conduct of anyone in the lesson environment, makes sessions unsafe, threatening, or consistently unworkable. In that case we may stop immediately. We will still account for any prepaid, unused lessons fairly, and we will share a short written summary so there is no confusion about why the arrangement ended.

Questions about this contract template

Do piano lessons need a contract?

A piano lessons contract puts the weekly slot, payment timing, missed-lesson rules, and ending terms in writing before the schedule becomes routine. The document helps prevent misunderstandings about make-ups, carry-overs, and what happens when lessons stop.

What should a piano lesson cancellation policy include?

A cancellation policy usually states the notice window, what counts as a late cancellation or no-show, and whether make-ups or credits are offered. The contract also needs to say what happens when the teacher cancels, so the make-up or credit process stays predictable.

How do piano teachers usually bill weekly lessons?

Weekly lessons often bill in advance by a set period, with a defined invoice due window. The contract should say when the weekly slot is considered held and what happens if payment is late.

What should a piano lesson agreement say about practice expectations?

A lesson agreement should explain what the teacher provides in the session and that practice between lessons stays the student’s responsibility. The wording can also set realistic limits around progress and outcomes, including exam preparation that still can’t guarantee results.

What should a piano studio contract include for child students?

A child student section usually names a parent or guardian as the main contact for scheduling, messages, and payment. The same section often covers drop-off and pick-up rules so responsibility stays clear.

What should an in-home piano lesson agreement cover?

An in-home agreement should cover access arrangements, the expectation that the instrument is ready at the booked time, and basic safety and supervision requirements. The same section should also say how the missed-lesson policy applies when entry or the space prevents teaching.
