Our response times

We keep communication simple. You will have a main point of contact for day-to-day matters, and a clear path to escalate anything urgent. We use three response levels: Urgent (today), Important (next working day), and Routine (within a few working days). We will confirm these timeframes in writing during onboarding so you know what to expect.

Urgent covers child safety, a serious incident, or an unexpected change affecting the same day. Important covers billing, subsidy documents, or schedule questions that affect the coming week. If we miss a committed time, we will tell you why, give you the new date, and prioritise the next step (for example, a revised settle-in plan or a corrected invoice).

Payment

Fees are billed by period, not by attendance days. We invoice each period at the start of that period, and we do not take any payment up front beyond that. Every invoice is payable within 7 days of its date.

Your invoice will reflect the programme option, the operating hours you have agreed with us, and any agreed extras written into this preschool enrolment agreement. If your child is absent due to illness, travel, or family reasons, the period fee still applies because we staff and plan the class for the enrolled places. If anything on an invoice looks off, tell us straight away so we can check it before the due date.

Fee reviews

We review our fees at a regular interval, and we do not change prices without telling you first. When we review fees, we will tell you in writing which items may change (for example, programme fees or optional service items) and which items will not.

What we need from you

Please tell us promptly about changes that affect care, including new work hours, changing pick-up people, allergies, sleep routines, or anything that may affect settling-in.

We also need you to complete intake information and any subsidy or enrolment documents on time. If your work hours change, tell us as soon as you can. We will confirm whether we can accommodate the new drop-off or pick-up times, and we will put any agreed timing arrangement in writing. If we cannot accommodate a change, we will say so quickly so you can make a plan.

Insurance

We carry the types of insurance a preschool needs for day-to-day centre operations, including cover for our people and the care setting. If an incident happens, we record it, inform you, and follow our reporting process.

You are responsible for any insurance you want on your side, such as cover for your child’s personal belongings brought to the centre. We recommend keeping valuable items at home because children’s items get mixed up easily in a busy classroom. If your child needs a comfort item for settling-in, label it clearly and let the educator know so we can keep track of it during the day.

If something goes wrong

If your child is injured, unwell, or involved in an incident while in our care, we will inform you as soon as we can, and we will record what happened in writing. For urgent situations, we will contact you immediately using the details you provided, and we will follow the escalation steps we explain during onboarding.

If property is damaged at the centre, or something is damaged during drop-off or pick-up, tell us straight away so we can look at it while it is still fresh. We will confirm in writing what happened, what the fix is, and who pays. If a cost is involved, we will agree it with you before we go ahead, unless it is a safety-critical repair that cannot wait.

Our team

The relationships your child builds with our educators matter, and so does keeping our staffing stable. While this preschool enrolment agreement is running, please do not directly hire, contract with, or pay any member of our team to provide childcare, tutoring, or nanny services for your family outside our centre arrangements.

This also applies for a period after your enrolment ends. The length of that period is one we set and confirm with you in writing. If you want extra support outside programme hours, talk to us first. Ending the agreement

Either you or we can end this preschool enrolment agreement by giving notice in writing. The notice period is the one written into this agreement. Fees remain payable up to the end date set by that notice, and any outstanding invoices still need to be paid within the normal 7-day term.

If settling-in is not going well, we will speak with you early and adjust the plan for the first week. If you decide to withdraw, the withdrawal terms apply based on your notice date. When enrolment ends, we will confirm in writing the last attendance date, the last billing period covered, and any next steps for subsidy documentation or final statements that we have agreed to provide.
