The car comes in for paint correction or a ceramic coating, and the owner wants the finish coming back right, not with fresh buffer trails or stained trim. This car detailing contract gives both sides the day-to-day rules: what gets done, what can’t be promised, and what happens if the job changes once the car’s already in the bay. The wording deals with the awkward bits up front, so the handover doesn’t turn into an argument about what was “included”.

The contract starts by saying which terms win if the proposal and the agreement clash, then it spells out What I’m doing and points to the included items list that sits under that section. Payment gets split into a booking amount and a balance, with due dates and what happens if payment slips, and the change section makes “stop and ask” the default when the car’s condition raises risk. The pages sit under olive accents with Zilla Slab headings and Roboto body text, so the document reads like a workshop handover note rather than sales copy.

  • This agreement is the day-to-day rules Sets the ground rules for inspection, the work itself, and handover, and says you’ll confirm in writing if any terms conflict with a proposal.
  • What I’m doing Describes full detailing and the approach around thin paint, edges, badges, trim, and rubber seals, with the included work listed under the section.
  • Booking payment Defines the 40% booking payment due on signing, when it gets refunded, and what happens if the detailer cancels the booking.
  • Paying the balance Covers the remaining 60% invoiced when the vehicle is ready for pickup, the 14-day payment window, and when ownership of the completed work passes.
  • Handover and snags Explains the pre-inspection notes, what gets checked together at pickup, and how a client should raise an issue without trying to fix it first.

This template lives in Plutio as a contract you fill in with your names, dates, and rates, then send for online signing. Once the client signs, both sides have the same written reference for inspection notes, pickup checks, and what gets classed as a snag versus pre-existing defects.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a car detailing contract

PartWhat it covers

This agreement is the day-to-day rules

Defines the everyday rules for inspection, carrying out the work, and handing the car back. It also says conflicting terms get confirmed in writing before work starts.

What I’m doing

Describes full detailing, including inspection under work lights and a final check at handover, and it points to the included items list under the section. The section also states the approach around edges, thin areas, badges, trim, and rubber seals.

Booking payment

Sets the booking payment at 40% due when the contract is signed, and explains what secures the slot. The section also covers cancellation outcomes for both sides and when a booking payment gets returned.

Paying the balance

Explains the remaining 60% invoiced when the job is finished and the vehicle is ready for pickup, and sets a 14-day payment term for each invoice. The section also states when support can be paused, when vehicle release can be held, and when ownership of the completed work passes.

Changes to the job

Covers how additions and removals get priced and approved in writing before any changed work starts. The section also sets out what happens when the vehicle condition introduces extra risk mid-job, including a stop-and-message default.

What I need from you

Lists what the detailer needs to take the job on safely, including the vehicle, keys, and a reliable contact method. The section also covers overnight permission if the schedule runs into a second day and access to power and water, including how mobile setup gets priced and agreed.

What’s not included

Draws the line between improving a vehicle and making it new, including defects that won’t be chased if correction risks strike-through. The section also limits odour removal and excludes mechanical and repair work that sits outside detailing.

Handover and snags

Explains the pre-inspection notes taken under work lights and how those notes get used at pickup if questions come up. The section also sets the pickup check process and how snags should be reported for inspection and correction.

Problems and limits

States the safe operating limits for chemicals, heat, water, and polishing, and excludes failures caused by prior repairs, weak paint, or sensitive components. The section also explains what happens if the detailer causes damage and rules out indirect losses.

Ending the booking

Explains how either side can end the booking in writing and how completed work and used materials get accounted for, including refunds for overpayment. The section also covers when the detailer can end the booking for access, condition changes, or unsafe instructions, and it includes a Signature block for acceptance.

Who it is for

Independent detailers, mobile detailing operators, and paint correction studios that need a signed agreement before taking custody of a client vehicle.

The contract in full

This agreement is the day-to-day rules for how I inspect the car, do the work, and hand it back to you. If anything in the proposal and these terms conflict, I will ask before I start so we agree one version in writing.

What I’m doing

Full car detailing covers the practical steps needed to bring the paint and interior up safely, including a pre-inspection under work lights and a handover check when I am finished. I work to the condition of the vehicle on the day, and I use methods that reduce defects without taking risks on edges, thin areas, badges, trim, or rubber seals.

Your proposal lists what is included for this job. That list sits under this section and is what I will deliver, with the same approach I described when you booked.

* Exterior hand wash and decon * Paint correction polish * Ceramic coating application * Interior deep clean and shampoo * Leather clean and condition * Engine bay clean and dress

Booking payment

To book the date(s), I invoice 40% of the total price when you sign. That payment secures time in my schedule and the products I set aside for your job.

If you cancel before I have started, I will return the booking payment only if I can refill the slot at the same value. If I have already bought job-specific materials or turned away other work for your dates, I will keep enough of the booking payment to cover that and return the rest. If I cancel, I will return the full booking payment.

Paying the balance

I invoice 40% up front when you sign, and I invoice the remaining 60% when the job is finished and the vehicle is ready for pickup. Each invoice is payable within 14 days of its date.

If an invoice goes past its due date, I will contact you and ask for a payment date. If I cannot reach you, or payment keeps slipping, I may pause aftercare support and I may hold off on releasing the vehicle until we have a confirmed plan in writing. Ownership of the completed work on the vehicle passes to you once the final invoice is paid.

Changes to the job

If you want to add, remove, or change any part of full car detailing after I have started, I will price the change first and send it to you in writing. I only do the changed work once you have confirmed in writing that you accept the price and any impact on timing.

If I find something mid-job that affects time, materials, or risk, like heavy tar, previous sanding marks, fragile trim, deep stains, or paint that is already thin on edges, I will stop and message you with options. I will not push on and hope for the best. If I cannot get approval quickly, the default is I finish only what is already agreed and safe.

What I need from you

I need the vehicle, the keys, and a reliable way to contact you while I have the car. If the schedule runs into Day 2, you give me permission to keep the vehicle overnight. I will tell you in advance if I expect that, but condition sets the pace.

I also need access to power and water at the work location. If that is not available, I can work mobile, but I will price any extra setup time in advance and agree it with you in writing. Please tell me before the booking if the car park has height limits, tight access, or rules about washing so I can plan properly.

What’s not included

Full car detailing improves the vehicle, but it does not make it new. I do not promise to remove every defect, and I will not chase scratches that are through the clear coat, chips, repainted panels with weak clear, or defects on sharp edges if correcting them risks a strike-through.

Smell removal is limited. I can deep clean and reduce odours, but I cannot guarantee complete removal of cigarette smoke, pet odour, milk, mould, or other contamination that has soaked into foam, headliners, or HVAC. I also do not cover mechanical work, rust repair, dent repair, windscreen repair, interior re-dyeing, or fixing damaged trim clips. If you want any of that coordinated, I can quote it separately.

Handover and snags

Before I start, I do a pre-inspection under work lights and note existing chips, deep scratches, fading trim, torn leather, and set-in stains. Those notes are what I compare against at handover if there is any question about what was already there.

At pickup, please check the vehicle with me, especially around badges, trim, rubber seals, and any areas we discussed as sensitive. If something I did needs putting right, tell me as soon as you notice and do not try to fix it with wipes, polish, or strong cleaners first. I will arrange a time to inspect and, if it is my issue, I will correct it. Normal wear, new damage after pickup, and defects that were listed at pre-inspection are not making-good items.

Problems and limits

I take care, but detailing involves chemicals, heat, water, and mechanical polishing, so I work within safe limits for the vehicle in front of me. I am not responsible for failures caused by previous poor repairs, weak paint, resprays that were not properly cured, brittle trim, failing clear coat, or electronics that are already sensitive to moisture.

If I damage something through my own mistake, I will put it right in a sensible way, which may mean re-detailing the affected area or paying for a reasonable repair. I do not cover indirect losses, like missed appointments, vehicle hire, or loss of business. If you have special constraints, tell me before I start so I can confirm what I can and cannot take on.

Ending the booking

You can end the booking by telling me in writing. I will confirm what work has been done up to that point and what can be safely stopped. You pay for work I have already completed and for any materials I have already used or bought for your job. If you have already paid more than that amount, I will refund the difference.

I may end the booking if I cannot get safe access, if the vehicle condition is materially different from what you described, or if you instruct me to do something I think risks damage, like chasing defects on edges or rushing coating cure time. If I end the booking, I will return any money for work I have not done, and I will hand back the vehicle and keys as soon as practical.

Questions about this contract template

What should a car detailing contract include?

A car detailing contract usually includes the scope of work, what’s excluded, payment terms, how changes get approved, and what happens at handover. This template also covers pre-inspection notes, snag reporting, and liability limits around prior damage and sensitive components.

Do detailers need a deposit to book a date?

A deposit isn’t required by law in most places, but many detailers use one to secure time and materials. This contract sets a 40% booking payment due on signing and explains when it’s returned or kept if the slot can’t be refilled.

How long do you need the car for, and can it stay overnight?

The time needed depends on the vehicle’s condition and what’s included in the job. This contract allows the schedule to run into Day 2 and asks for permission to keep the vehicle overnight if that happens.

Will machine polishing thin the clear coat?

Machine polishing removes some material, which is why the approach matters. This contract says the work adapts to the condition on the day and avoids risky correction on edges, thin areas, badges, trim, and rubber seals.

Can detailing remove cigarette smoke, pet odour, or milk smells?

Deep cleaning can reduce odours, but complete removal can’t be guaranteed when contamination has soaked into foam, headliners, or HVAC systems. This contract limits smell removal promises and lists examples of contamination that may not fully come out.

What do you need from me before you start detailing?

Access and contact details matter because the car is in someone else’s care during the job. This contract asks for the vehicle and keys, a reliable way to reach the owner, and access to power and water at the work location, with mobile setup priced in advance if needed.
