A document needs to move across town today, and the buyer can’t afford a vague “on the way” that turns into silence. A courier service quote gives the buyer something concrete to approve, with the run described up front and the proof points spelled out, under Zilla Slab headings with Inter body text in deep slate-blue and vermilion accents.

The proposal starts with The short version, then How the work runs breaks the job into checkpoints, including what gets confirmed before pickup and what proof gets sent at pickup and handover. Same-day courier run booking and Live ETA updates explain what gets booked, what changes an ETA, and how multi-stop routing and return runs get confirmed, so the buyer sees proof and updates before they ever reach the numbers.

  • The short version Opens with what gets tracked and what proof gets sent, so the buyer knows what “kept in the loop” means on a live run.
  • How the work runs Explains the checkpoints, from confirming the pickup pin and contacts to sending pickup confirmation and delivery handover details.
  • What it costs Prices the base runs as selectable line items, and you replace the template prices with your own before sending.
  • Add-ons Keeps optional extras separate so the buyer can choose them at booking and the routing stays agreed in writing.
  • Getting started Holds the signature and fee summary, and points to the booking payment that reserves a pickup slot.

After you drop in your prices for the five line items, you send the quote and the client signs online. Getting started carries the signature and fee summary, and the terms in Booking and payment and Changes to the run lock in the 40% booking payment, the 60% balance on completion, the 14-day invoice window, and what happens if pins, stops, or item details change.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a courier service quote

PartWhat it covers

The short version

Summarises the run as a set of checkpoints, including pickup and handover proof, so the buyer knows what updates they’ll get.

How the work runs

Explains how pickup details are confirmed, what gets messaged at pickup, and what proof arrives at delivery when the handover is done.

Same-day courier run booking

Defines what one booked run includes and what counts as pickup and delivery confirmation proof, including recipient-name handover.

Live ETA updates

Covers when ETA updates get sent and how multi-stop routing and return runs get confirmed in writing when they’re booked.

What it costs

Holds priced items for the core runs, and you swap in your own numbers before the quote goes out.

Add-ons

Adds priced items for optional services, so the buyer can accept them at booking instead of changing the route mid-run.

Getting started

Includes the signature and fee summary, with the steps to confirm a pickup slot and pay the booking amount.

Booking and payment

Spells out the 40% payment on signing, the 60% due when finished, the 14-day invoice term, and what information is required before pickup.

Changes to the run

Explains how changes get agreed in writing before movement, plus cancellations, restricted items, and how attempted pickups are handled.

Who it is for

Courier operators, same-day courier drivers, and delivery & courier teams quoting urgent runs where the buyer needs proof of collection and proof of handover.

The proposal in full

The short version

You’ll have a same-day delivery that you can account for, with proof of collection, proof of handover, and a message trail that shows where the run is at when you need to update your boss or your client.

You reached out because you need a collection from a specific pin and you cannot risk a courier going quiet. If you go ahead, I’ll confirm pickup time by message, then send the recipient name at delivery.

I treat each run like a chain of checkpoints: confirm the exact pickup pin and contact name, collect and message you proof, move direct to drop-off unless you’ve booked multiple stops, then message you proof of handover with the recipient name. If traffic, security gates, or waiting time changes the ETA, I tell you as soon as it changes, not after.

How the work runs

I keep the run moving with short updates you can forward, and I confirm each checkpoint with a photo or written handover name.

1. Confirm pickup details Before pickup You send the pickup pin, pickup contact name and number, what I’m collecting, and any gate or reception instructions. I confirm the pickup time window I can meet and the drop-off order if there are multiple stops. 2. Pickup and proof At pickup I collect the envelope or parcel, check it matches the description, and secure it for transport. I message you a pickup confirmation with time and location, plus a photo when it’s appropriate and allowed at the site. 3. Same-day delivery run Same day I travel to the drop-off location by the quickest workable route for the item and the destination access. If security check-in, loading bay queues, or traffic changes timing, I message you the updated ETA as soon as I know. 4. Handover and confirmation On delivery I hand over to reception, the named recipient, or the site contact you specify. I message you delivery confirmation with time and the recipient name, and I include a handover photo or signature proof when the location allows it.

Same-day courier run booking

One booked run with pickup pin, drop-off address, contact names, and agreed pickup time window confirmed by message before I set off.

PICKUP CONFIRMATION PROOF

Pickup confirmation sent by message with time and location, plus a photo of the envelope or parcel at pickup when it is appropriate and permitted.

DELIVERY CONFIRMATION PROOF

Delivery confirmation sent by message with time and recipient name, plus photo or signature proof when the receiving point allows it.

Live ETA updates

Short updates during the run when traffic, security access, or waiting time changes the ETA, so you can update your client or your internal team.

MULTI-STOP ROUTING (IF BOOKED)

Planned stop order for multiple drop-offs on the same day, confirmed in writing before pickup so the last stop is not a surprise.

RETURN RUN OPTION (IF BOOKED)

An express return delivery back to the pickup point or a second address on the same day, with the same pickup and handover confirmations.

What it costs

These prices cover the run you book, live ETA updates, pickup proof, and delivery proof with recipient name.

Priced items

Add-ons

Add these when you book so I can route the run correctly.

Getting started

If you want me to hold a pickup slot today, sign this proposal and I’ll confirm the pin and the earliest arrival time I can commit to.

Fee summary

Booking and payment

To book, you pay 40% when you sign. The remaining 60% is due when the job is finished. Each invoice is payable within 14 days of its date.

What I need from you. Before pickup, send the exact pin, contact name and number at pickup and drop-off, and any reference needed at reception. If I cannot reach the contact, the run pauses.

Pickup and handover proof. I send pickup confirmation and delivery confirmation as messages, including time and recipient name. If the site does not allow photos, I will send the proof the site permits.

Waiting time. Pickup and drop-off include normal reception handover. If I am kept waiting for access, stamps, or loading, I will message you and confirm whether you want me to keep waiting or reschedule.

Same-day timing. Same-day means I run it on the day you book, based on traffic, gate access, and any cutoffs at the destination. If timing shifts, I will send an updated ETA when it changes.

Changes to the run

If the pin, stop count, package size, or destination changes after booking, I will confirm the change in writing before I move. Any price change is agreed before pickup or before the extra stop.

Cancellations. If you cancel before I start moving to pickup, I will cancel the booking with no run charge. If I am already en route or at pickup, you cover the travel and any waiting already used.

Restricted items. I do not carry illegal items, cash, or anything that needs special permits unless you tell me before booking. If an item is refused at pickup, the run is treated as attempted pickup.

Ownership and records. Your items stay yours at all times. My messages and proofs are the record of the run. I keep basic run details for my accounts and to resolve delivery questions if they come up.

Questions about this proposal template

What should a courier service quote include?

A courier service quote should state what run is being booked, what proof gets sent at pickup and at delivery, and what the buyer is actually paying for. This template also includes booking and payment terms and what happens if the run details change.

How do you confirm pickup and delivery for a same-day courier run?

Pickup confirmation is sent by message with time and location, with a photo when the pickup site allows it. Delivery confirmation is sent by message with time and the recipient name, with photo or signature proof when the receiving point allows it.

Can the quote cover multi-stop last-mile delivery?

The quote includes a multi-stop routing section that confirms the planned stop order in writing before pickup when multiple drop-offs are booked. The proposal also covers a return run option when that’s booked.

How do courier booking payments usually work?

This proposal takes 40% when the client signs to book the run and holds the pickup slot. The remaining 60% is due when the job is finished, and invoices are payable within 14 days of the invoice date.

What details do you need from a buyer before pickup?

The proposal asks for the exact pickup pin, contact name and number at pickup and drop-off, and any reception or gate instructions. If the contact can’t be reached, the run pauses.

What happens if the pickup address or number of stops changes after booking?

The proposal says any change to the pin, stop count, package size, or destination gets confirmed in writing before the courier moves. Any price change is agreed before pickup or before an extra stop is added.
