Appointments have to stay on time and clean in a space other people share, but the risk sits in the small stuff that turns into callbacks or complaints. A client reads a nail tech contract like this to see what counts as a session, what gets paid up front, and what happens if gel isn’t safe to apply, before the appointment ever starts.

The wording runs in the same order the booking runs: who’s doing the work, what the session includes, then the payment and cancellation rules that keep the day moving. The pages use warm rose accents with Raleway headings over Roboto body text, so the client can scan the limits around hygiene and reactions, then land on Photos and video consent and Ending the arrangement without hunting for it.

  • I am Mina Okamoto, Nail technician Names who will do the sessions and ties this contract back to any proposal that was accepted for the same work.
  • What you’re booking Defines a session as one timed block for gel nails and notes what needs to be ready at the start time, including bare nails and approved reference photos.
  • Payment States that sessions are paid in advance, invoices are due within 14 days, and any add-ons get priced and approved in writing before work starts.
  • Cancellations and no-shows Explains late-cancellation and no-show fees, plus what happens if the nail tech has to cancel and the session gets rebooked, credited, or refunded.
  • Ending the arrangement Covers how either side can end the working arrangement with agreed notice, and carries the signature block for acceptance.

In Plutio, you fill in the names, dates, rates, and any terms that need to match how you actually work, then you send it and the client signs online. After signing, both sides have the same written record to refer back to when a session gets moved, a pack balance gets used up, or permission for photos changes.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a nail tech contract

PartWhat it covers

I am Mina Okamoto, Nail technician

Introduces who will do the sessions and says this contract is read alongside an accepted proposal, with timing and station-containment expectations stated up front.

What you’re booking

Defines what one session includes and where sessions can take place, then notes what needs to be ready at the start time so the booking stays on schedule.

Payment

Explains advance payment for single sessions and packs, invoice timing, and how add-ons like art, repairs, removals, or extra time get priced and approved before work begins.

Cancellations and no-shows

Spells out how notice periods, late cancellations, and no-shows are handled, plus what happens when the nail tech has to cancel and the session needs rebooking or a credit or refund.

Pack sessions

Covers how pack bookings draw down the session balance, where expiry and carry-over rules get written, and how refunds are handled once sessions have been used.

What this isn’t

Sets the health boundary for gel nails as a cosmetic service, including when work stops on the day and when a client needs medical advice before booking again.

Photos and video

Defines permission for photos or video, what kind of images are allowed, how sharing works, and how consent can be withdrawn later in writing.

Ending the arrangement

Covers notice to end the arrangement, what happens to already-paid sessions, and the conditions that allow an immediate stop for safety or hygiene. This section carries a Signature for acceptance.

Who it is for

Nail technicians working with salons, hotels, or studio setups who need written terms for timed gel nail sessions and session packs.

The contract in full

I am Mina Okamoto, Nail technician, and I will be the person doing the sessions. If you have accepted a proposal from me for this project, that proposal and this Nail Tech Contract are read together. I work in timed blocks, keep my station contained, and I follow the terms below so your bookings stay on schedule and your space stays clean.

What you’re booking

One session is a single timed block for gel nails (prep, dry manicure and cuticle work, builder or extension work where booked, art where booked, finish, and aftercare). Sessions take place at your salon, hotel, or studio setup, and the number of sessions is the number you have booked as single sessions or as a pack. Please have the client present at the start time with clean, bare nails if possible, plus any reference photos approved for that appointment before I begin prep.

Payment

Sessions are paid for in advance. If you book a single session, it is paid when it is booked. If you buy a pack, the pack is paid before its first session. I will invoice you for what you have booked, and every invoice is payable within 14 days of its date. If you want to add nail art, repairs, removals, or extra time beyond what was booked, I will price it and get your written approval before I do it so there are no surprises.

Cancellations and no-shows

If you need to cancel or move a booked session, tell me with the notice period I set at the time of booking. If you cancel late, I charge a late-cancellation fee that I set, because that time block is hard to refill once I have held it for your client. If a client does not arrive, the booking is treated as a no-show and I charge a no-show fee that I set, because the time and setup are already committed. If I have to cancel (for example due to illness or travel disruption), I will tell you as soon as I can and we will either rebook or I will credit or refund the amount you already paid for that session.

Pack sessions

If you buy a pack, sessions are booked from that pack and each booking uses one session from the balance. I will tell you the pack rules at purchase, including whether unused sessions carry over if you reschedule, and I will follow those rules consistently for this project. If I set an expiry period for packs, I will write it on the invoice at the time you buy the pack so it is easy to track. Refunds for packs are only given the way I set out at purchase. As a rule, once sessions have been used, they are not refundable. If you are unsure, ask me before you pay and I will confirm in writing what happens if plans change.

What this isn’t

Gel nails is a cosmetic service. I am not diagnosing skin or nail conditions, and I am not providing medical advice. I cannot work over broken skin, swelling, infection, or anything that looks like a reaction. If I see something on the day that makes gel nails a bad call, I will stop, explain what I am seeing, and we will rebook or adjust the plan. If a client has ongoing pain, persistent redness, a spreading rash, or anything that worries you, they should speak with the right medical professional before booking again. I can coordinate timing and removals around that advice, but I will not work against it.

Photos and video

I only take photos or video of the nails, the hands, or the client if you give permission. You can say no at any time, and it will not change the service, the timing, or how I treat the appointment. If you do say yes, tell me what you are comfortable with: close-ups only, no identifying features, and whether I can share it on my portfolio or social channels. You can also withdraw permission later. If you do, tell me in writing and I will stop using new images going forward and I will remove any posts I control within a reasonable time.

Ending the arrangement

Either of us can end this working arrangement by giving the notice period we agree in writing. I will finish any sessions already in progress, and I will not start new sessions after the end date unless you and I both confirm it in writing. If you have sessions already paid for, we will either complete them within agreed dates or I will credit or refund the unused sessions, based on what you have already booked and any fees I have clearly set for late cancellations or no-shows. I may also stop working with a client or on your floor immediately if conduct, hygiene, intoxication, harassment, unsafe working conditions, or repeated disregard for my safety rules makes the session unsafe or unworkable.

Questions about this contract template

What should a nail tech contract include?

A nail tech contract usually covers what a session includes, how payment and invoices work, cancellation and no-show fees, and what happens when gel nails aren’t safe to apply. The same contract often includes photo consent and the rules for ending the arrangement.

Do nail clients need to pay in advance?

Advance payment is a common way to hold a timed block that’s hard to refill at short notice. This contract states that sessions are paid for in advance, and packs are paid before the first session.

How do you handle cancellations and no-shows for nail appointments?

Cancellation terms usually depend on the notice period agreed at booking, with a late-cancellation fee when notice is short. This contract also treats a missed appointment as a no-show and applies a no-show fee, with the exact fees set by the nail tech.

Can a nail tech refuse service because of a reaction or broken skin?

Yes, a nail tech can stop or refuse service when gel nails look unsafe, such as over broken skin, swelling, infection, or signs of a reaction. This contract says the session stops, the situation gets explained, and the plan is adjusted or rebooked.

Can a nail tech take photos of a client’s hands for social media?

Photos or video should only be taken with permission, and the client should be able to say no without it affecting the service. This contract also lets the client limit what gets captured and withdraw permission later in writing.

How do pack sessions work for nail appointments?

Pack sessions usually draw down one session from a balance each time a booking is made. This contract says the pack rules are given at purchase, any expiry gets written on the invoice, and refunds follow the rules set at purchase, with used sessions generally not refundable.
