A car goes into the shop, and the hard part isn’t the spanners, it’s getting the job nailed down so the price doesn’t drift once the wheels are off. This auto repair contract gives the customer a written plan to sign, including what work is included, what counts as an extra, and when money changes hands, in a working-vehicle green layout with Zilla Slab headings over Inter body text.

The contract opens by tying the terms to any written estimate already accepted, then spells out what the garage is doing and the paperwork the customer can expect to see alongside the repair. The middle sections cover a 50% booking deposit, the second 50% due on completion, and the rule that any change gets agreed in writing before work continues, including the split between “needs doing now” and “can wait”. The later sections deal with access and decisions at check-in, what the price doesn’t include, what happens at handback if a snag shows up, and where responsibility sits for unrelated faults or parts delays.

  • What we are doing Defines the booked repair work and the documents that can sit alongside the job, so the agreed scope stays clear before parts get ordered.
  • Booking deposit States the 50% deposit taken on signing, plus what happens if the job is cancelled before parts ordering or after time has been spent.
  • Changes and extras Explains how new findings get priced and approved in writing, including what has to be done now versus what can wait.
  • Handback and snags Covers what happens at collection, what paperwork gets handed over, and how the garage handles a problem reported after pickup.
  • If the job stops Sets out how either side can end the job, what the customer pays for at that point, and includes the Signature block.

The contract goes out for signature online, so you swap in your own names, dates, and rates, then send it to the customer. Once the customer signs, both sides have the same reference for the agreed work, the approval steps for extras, and the terms for payment and stopping the job.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in an auto repair contract

PartWhat it covers

If you have accepted a written

Connects these terms to any written estimate already accepted, so the signed agreement matches what was quoted for the job.

What we are doing

Lists what the garage is carrying out for this booking, and names the job documents that can be provided alongside the repair.

Booking deposit

Explains the 50% booking deposit and the conditions for refunds or retention when parts have been ordered or work has started.

Payment

Defines the two-stage 50/50 payment split, 14-day invoice terms, and when the garage may pause work or hold the vehicle for non-payment.

Changes and extras

States that extra work doesn’t get added by default, and that any change must be agreed in writing before it goes ahead.

Access and decisions

Covers check-in requirements, what needs to be left with the vehicle, and who handles approvals and technical explanations.

What is not included

Spells out exclusions like unrelated faults and limits around diagnosis, intermittent issues, parts availability, and MOT outcomes.

Handback and snags

Describes handback checks, how requested worn parts can be shown, and what happens when a customer reports a snag after collection.

Problems and responsibility

Sets out responsibility for agreed work and fitted parts, plus limits for unrelated breakdowns, pre-existing issues, and third-party delays.

If the job stops

Explains cancellation by either side, how final charges are handled, storage terms after completion, and includes a signature section.

Who it is for

Independent garages, general mechanical repair shops, collision repair centres, and EV servicing businesses that need customers to approve scope, extras, and payment terms in writing before work starts.

The contract in full

If you have accepted a written proposal from us, these terms apply to that job and sit alongside what we quoted and described there. Our aim is simple: you get a clear plan, a price you approve before parts are ordered, and a car handed back in a safe, roadworthy state for the work we have agreed.

What we are doing

We will carry out the auto repair work you have asked us to do, based on the fault you have reported and what we find when we inspect and test the vehicle. The items listed under this section are what you are booking us for on this job, and they are what our price is built around. If you want us to look at something else while the car is with us, or you want options like genuine parts versus decent aftermarket, we will treat that as a change and agree it with you before we go ahead.

* Written work estimate * Diagnostic scan results * MOT repair plan notes * Fitted parts and fluids * Tyre and alignment printout * Completion invoice and service record

Booking deposit

To book the job in and reserve time on the ramp, we take 50% of the price when you sign. We then schedule the work and start the Day 1 checks and inspection. If you cancel before we have ordered parts or started work, we will return the deposit. If we have already ordered parts specifically for your vehicle, or we have started diagnosis or strip-down, we will keep enough of the deposit to cover what we have spent and the time already used, and we will explain what that covers.

Payment is split into two stages. You pay 50% of the price to book the work when you sign, and the other 50% is due when the job is finished and the vehicle is ready to collect. We invoice for the work and any agreed parts, and every invoice is payable within 14 days of its date. If an invoice goes past its due date, we will contact you and ask you to settle it or agree a plan. If payment is still not sorted, we may pause further work and hold the vehicle until the account is up to date.

Changes and extras

We do not add work just because the car is already in the air. If anything comes up that changes the plan, we stop and call you. We will tell you what we have found, what it affects, what we recommend as “needs doing now” versus “can wait”, and what it will cost.

Any change has to be agreed in writing before we do it. A text message or email is fine. If we cannot reach you and the vehicle is not safe to road test or reassemble without a decision, we will leave it safe and secure and wait for your go-ahead.

Access and decisions

You need to leave the vehicle with us for the booked days and make sure we can move, test and, where safe, road test it. At check-in, please leave the locking wheel nut key, any wheel nut adapters, and any security codes you have for the stereo or alarm. Tell us about any quirks we should know, like intermittent starting, warning lights that come and go, or a noise that only happens cold.

Hannah Dransfield is your main contact for estimates, approvals and timing. Gareth Townsend carries out the inspection, diagnosis and repairs and may speak to you if we need to explain a technical finding.

What is not included

Unless we have agreed it as part of this job, our price does not include unrelated faults, previous poor repairs, or work caused by new symptoms that appear after the vehicle arrives. Diagnosis is not the same as a guarantee of a single fix on the first go, especially with intermittent electrical faults. Where a repair depends on parts availability, specialist machining, or third-party services, we will tell you and agree the next step.

MOT outcomes can be affected by items that only show up on the day or under test conditions. We can prepare and repair to address known issues, but we cannot promise a pass if new defects are found.

Handback and snags

When the job is finished, we will refit what we have removed for access, torque and safety-check the areas we have worked on, and keep the vehicle tidy for a working garage environment. We will show you any worn parts you asked to see at check-in where it is safe and practical, and we will give you the paperwork we have agreed to provide.

If something does not feel right after collection, tell us as soon as you can and stop driving if you think it is unsafe. We will book you back in to inspect the issue. If it relates to the work we did, we will put it right. If it is a new or separate fault, we will explain that and quote before doing more work.

Problems and responsibility

We will take reasonable care of your vehicle while it is with us and while we are working on it. We are responsible for the quality of the work we agree to do and for fitting parts properly.

We are not responsible for breakdowns or faults that are unrelated to the work we carried out, or for pre-existing issues that become apparent during normal use, especially on older vehicles. We are also not responsible for delays caused by parts supply problems or third-party services, but we will keep you updated and give you choices where we can.

If the job stops

You can end the job at any time by telling Hannah in writing. We will stop work as soon as it is safe to do so, and we will confirm what stage we are at. You will pay for the work already carried out and any parts we have ordered specifically for your vehicle. Until the final invoice is paid, parts we have ordered for the job remain ours if the job is cancelled after ordering.

If we need to end the job, we will explain why and what options you have for collecting the vehicle. Once the vehicle is finished and ready to collect, we will let you know. If it stays with us more than 3 working days after that without agreement, we may charge reasonable storage to cover space and handling.

Questions about this contract template

What should an auto repair contract include?

An auto repair contract should state the agreed repair scope, how deposits and final payment work, and how changes or extras get approved before the work continues. This version also covers what’s excluded, handback checks, and what happens if either side stops the job.

Can a garage change the price after starting work?

Price changes should be treated as a change to the plan and agreed before extra work happens. This contract requires any change to be approved in writing, and it separates “needs doing now” from “can wait” so the customer can decide.

How much deposit should a mechanic ask for?

Deposits vary by shop, but this contract uses a 50% booking deposit to reserve time and start initial checks and inspection. The terms also explain when a deposit gets refunded and when part of it may be kept to cover parts ordering or time already used.

What counts as an extra on a car repair job?

Extras are any additional items outside the booked repair work that change the plan or the price. This contract treats extra checks, additional faults, or part options as changes that must be agreed in writing before going ahead.

Do I have to use genuine parts for a repair?

Part choice depends on what’s appropriate for the vehicle and what the customer approves. This contract allows options like genuine parts versus decent aftermarket parts, but treats the selection as something that gets agreed before parts are ordered.

What happens if the customer cancels the repair after parts are ordered?

Cancellation terms should cover work already done and parts ordered specifically for the vehicle. This contract says the customer pays for work completed and ordered parts, and it explains what happens to parts ownership until the final invoice is paid.
