Meetings move fast, but business English coaching only works when the expectations stay just as clear as the corrections. This business English contract gives clients the booking terms in writing, so the work doesn’t drift into open ended “practice” and then get argued about when schedules change or invoices land.

The first sections tie the agreement back to any accepted proposal or booking confirmation, then spell out what a session includes, including level assessment and working from real workplace material where sharing allows. Payment terms sit upfront, followed by rescheduling rules, pack or membership use, and the line that keeps the boundary clear: coaching is not legal or HR advice, and results aren’t guaranteed. Accent colours in alert yellow and ink blue sit under Syne headings, so the sections read like a coached checklist instead of a wall of text... and the client sees the cancellation window and renewal notice before anything goes wrong.

  • If you have an accepted proposal Connects this contract to an accepted proposal or booking confirmation, and makes space to resolve conflicts in writing before sessions start.
  • What you book Defines sessions and level assessments, including what materials a client can bring and how lesson length differs for 1:1 versus small group.
  • Payment Covers how recurring periods get invoiced, when one off sessions are invoiced, the 7 day due window, and what happens when an invoice goes unpaid.
  • Rescheduling and missed sessions Explains the cancellation notice window, late cancellation and no show handling, and what happens if the coach cancels.
  • Ongoing billing Describes automatic renewals, how to give notice to stop, and how deadlines get confirmed on the invoice or booking confirmation.

If a membership or term runs on recurring billing, the contract explains when invoices go out, how renewals happen, and what counts as notice to stop. You replace the names, dates, and rates, then send it for online signature and keep the signed copy with the client record.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a business english contract

PartWhat it covers

If you have an accepted proposal

Links the agreement to an accepted proposal or booking confirmation and sets a clear way to handle inconsistencies before work begins.

What you book

Defines what counts as a session or level assessment, and covers lesson length and the rules for bringing real workplace documents.

Payment

Explains recurring invoicing at the start of each period, invoicing for one off sessions, the 7 day due term, and pausing future bookings if payment is late.

Rescheduling and missed sessions

Covers how the cancellation notice window works, how late cancellations and no shows may be charged or counted, and how coach cancellations get rescheduled.

Using a pack or membership

Spells out how sessions get used and booked, what happens with carry over, and how refunds and changes get handled when time has been reserved.

What this is not

Sets boundaries around the work as language coaching, not legal, HR, or therapy, and explains what correction and practice can and cannot guarantee.

Ongoing billing

Explains renewals for memberships or terms, how notice to stop works, and how both sides handle stopping recurring sessions.

Ending the arrangement

Explains how either side can end with notice and what happens to delivered and undelivered sessions, and includes a Signature block to sign.

Who it is for

For business English coaches, exam preparation tutors, and corporate trainers who sell sessions, packs, or memberships and need terms a client can sign.

The contract in full

If you have an accepted proposal or a booking confirmation from me, that sits alongside this agreement and describes what you chose. If anything feels inconsistent, tell me and I will confirm in writing what we are both working to, before we start.

What you book

A session is a live, 1:1 or small-group lesson on video call (or in person if I confirm it), for the length shown on your booking: 60 minutes for 1:1 lessons and 90 minutes for small-group lessons. A business English level assessment is a scheduled assessment session using CEFR, followed by a short written summary of your level and the next steps I recommend. You are booking the number of sessions shown on your invoice or membership, and you can bring real emails, agendas, reports, or slides as long as you are allowed to share them and you remove sensitive details where needed.

Payment

For recurring work (a membership or term), I invoice at the start of each period, before the sessions in that period take place. I do not take any payment beyond that. If you add a one-off session outside your current period, I will invoice it when it is booked, and I will confirm the session time once it is scheduled. Every invoice is payable within 7 days of its date. If an invoice goes unpaid, I pause future bookings until it is brought up to date, and we pick up from there with the next available slots.

Rescheduling and missed sessions

If you need to reschedule, email me as early as you can. My cancellation notice window is set by me and I will confirm it when you book, so you know where you stand before the session is in the diary. If you cancel inside that window, I treat it as a late cancellation and I may charge the late-cancellation fee I have set, or count the session as used. If you miss a session without notice, I treat it as a no-show. Any no-show fee, and whether the session is forfeited or can be rebooked, are set by me and confirmed when you book. If I need to cancel, I will offer a reschedule and you will not be charged for the cancelled slot.

Using a pack or membership

Sessions in a pack, block, or membership are used one session at a time and booked in advance. I will offer session times by email and book your slot once you confirm. If you want a regular weekly time, tell me what you can do and I will let you know what I can hold. Unused sessions do not automatically carry over into a new billing period unless I confirm carry-over in writing for your membership. Refunds are not the default once a period has started, because I hold time for you. If something genuine changes on your side, tell me quickly and I will explain your options, including what I can refund (if any) based on what has already been delivered and what time has been reserved. Whether a pack expires, and how long it stays valid, are set by me and confirmed on your invoice.

What this is not

My work is language coaching and skills practice. It is not legal advice, HR advice, or therapy, and it is not a substitute for getting the right professional support for workplace, health, or legal issues. I will correct your English, help you practise for real situations, and give you drills and wording you can reuse, but I cannot guarantee a result. Progress depends on your starting level, how consistently we meet, and what you practise between sessions. If you are unsure whether coaching is the right fit for what you are dealing with, tell me and I will help you decide what support to seek next.

Ongoing billing

Recurring work runs in billing periods (your membership or term). Each period renews automatically, and I invoice at the start of the new period before the sessions in it take place. You can stop renewal by giving me notice in writing. The notice period is set by me and I will confirm it on your invoice or booking confirmation, so you know the deadline for stopping the next renewal. If you give notice after that deadline, the next period may already be in progress or invoiced, and we will treat the change as applying to the following period. I do the same on my side. If I need to stop offering recurring sessions, I will give you the same notice and I will not invoice for any future period that I cannot deliver.

Ending the arrangement

Either of us can end the arrangement by giving notice in writing. The notice period is set by me and I will confirm it when you book recurring work, so it is not a surprise later. Sessions already delivered remain payable, and sessions already paid for but not yet delivered will be handled in a straightforward way: I will either deliver them within a reasonable time, reschedule them, or refund the undelivered portion if I cannot provide the service. I also reserve the right to stop working with you immediately if your conduct makes sessions unsafe, abusive, or persistently disruptive. If that happens, I will confirm by email what will happen to any sessions already paid for.

Questions about this contract template

Can the contract cover a pack, a membership, or one off sessions?

The contract text covers one off sessions and recurring work like a membership or term, plus how packs or blocks get used one session at a time. Any notice windows, carry over, and fees still need confirming in your own booking and invoice details.

What does the contract say about payment timing and late invoices?

The payment section states recurring periods get invoiced at the start of each period, before sessions happen, and invoices are payable within 7 days. Unpaid invoices pause future bookings until the account is brought up to date.

How does the contract handle cancellations and no shows?

The contract says the cancellation notice window is set by the coach and confirmed when booking. Late cancellations may be charged or counted as used, and missed sessions without notice count as no shows with the fee and outcome confirmed when booking.

Can the coaching be based on real work emails and presentations?

The booking section allows clients to bring real emails, agendas, reports, or slides as long as they’re allowed to share them and remove sensitive details where needed. That keeps practice tied to real business English situations without creating disclosure risk.

Does the contract promise specific results from coaching?

The contract says the coach will correct English, practise for real situations, and give drills and reusable wording, but it does not guarantee results. Progress depends on starting level, consistency of sessions, and practice between sessions.

How does the contract explain renewals and ending the arrangement?

The ongoing billing section says recurring periods renew automatically and invoices go out at the start of the new period, with notice to stop renewal confirmed on the invoice or booking confirmation. The ending section covers notice in writing and what happens to paid but undelivered sessions, and includes signing.
