A workplace wellbeing day gets booked, the schedule gets slotted between meetings, and then everyone needs to know the chair massage will run on time without you playing go-between. The chair massage contract gives both sides a day-to-day agreement for on-site chair massage, so access, payment rhythm, and on-the-day responsibilities are already written down. The terms sit under blue-grey accents with a magenta-red action button, with Lora headings over Inter body text.

The opening section ties the contract to whatever dates and time windows were confirmed elsewhere, then the wording moves into what “on-site chair massage” means and what gets brought along versus what the client provides on site. Payment and recurring periods spell out when invoices get issued and when they’re due, while cancellations cover missed slots, late notice, and what happens if the therapist has to cancel. The middle sections handle health notes, normal risks, what chair massage is not, plus permissions around photos and video, so “yes” or “no” is clear before the day.

  • It covers the on-site chair massage Connects the agreement to the accepted proposal or booking confirmation, and frames the contract as the working rules for the booking.
  • What you’re booking Defines on-site chair massage, what gets delivered (sessions or a time block), what the therapist brings, and what the client provides on the day.
  • Payment Explains recurring billing, the 7-day invoice window, and how agreed changes get priced and confirmed in writing.
  • Cancellations and missed slots Covers notice windows, late-cancellation and no-show handling, and what happens if illness or an emergency forces a cancellation.
  • Ending the arrangement Closes with notice in writing and a Signature block for accepting the terms.

Once the wording matches your own names, dates, and rates, the contract goes out for online signature, and the signed copy sits with the booking terms you referenced in it.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a chair massage contract

PartWhat it covers

It covers the on-site chair massage

It covers the on-site chair massage you book with me, including the session schedule, access, and how billing works when you book on a recurring basis. If you have an accepted proposal or booking confirmation from me, that sets the dates, time windows, and any agreed details. This document is the day-to-day working agreement I run the booking on.

What you’re booking

On-site chair massage means short, seated sessions in a portable massage chair at your workplace or event, with each session running for the length shown on your schedule. I will deliver the number of sessions (or the total on-site time block) shown on your booking confirmation, and I will bring the chair, consumables, and basic hygiene kit. You provide a suitable spot to set up and one point of contact on the day so I can keep the run-of-day moving.

Payment

For a recurring booking (a membership or a fixed term), I invoice at the start of each period, before the sessions in that period take place. Nothing is paid up front beyond that invoice. Every invoice is payable within 7 days of its date. If you add time, extra coverage, or an additional day after we have agreed the schedule, I will price the change and confirm it in writing before I deliver it, so there are no surprises on the invoice.

Cancellations and missed slots

If you need to cancel or move a booked date or time block, tell me as early as you can so I can release the time or rebuild the schedule. My cancellation notice window and any late-cancellation fee are set by me and are shown on the invoice or booking confirmation for that period. If the chair is set up and a session slot goes unused because someone does not attend, I treat it as a missed slot rather than time I can resell on site. Any no-show fee or rule is set by me and stated in writing. If I have to cancel due to illness or an emergency, I will tell you as soon as possible and we will either reschedule or credit the missed time.

Using a pack or term

If you book a pack, block, or membership, sessions are booked out of that balance during the period shown on the invoice and booking confirmation. I will help you set a simple rotation and sign-up method so the time is used well, but you control who takes the slots and how you handle internal comms. Whether unused sessions carry over, whether a pack expires, and any limits on rescheduling are set by me and stated in writing for your booking. Refunds are only offered where I have confirmed them in writing, and they are based on what has already been delivered and what can still be rescheduled within the agreed period.

Health and comfort notes

Before the first session, and anytime something changes, you agree to tell me about anything that could affect a session. That includes recent injuries, ongoing conditions, pregnancy, dizziness or fainting, skin sensitivities, allergies (including to oils, lotions, or cleaning products), or anything that makes sitting in a chair uncomfortable. On the day, each participant is also responsible for speaking up if something does not feel right. I may adjust pressure, avoid an area, shorten a session, or pause or stop a session if I think it is the safer call. I would rather lose a slot than push through when someone does not feel well.

Normal risks

On-site chair massage is usually gentle, but it is still hands-on bodywork. It can sometimes lead to temporary soreness, lightheadedness, skin irritation, or an unexpected reaction to pressure or positioning. By taking part, you and your participants are choosing to receive the session and to give feedback during it. This does not cover carelessness on my part, and it is not a promise that nothing can go wrong. My job is to work within normal, sensible limits for chair massage, check in during the session, and stop if something is not safe or does not feel right.

If the booking is at home

If a session is booked at your home, you agree to give me clear access instructions in advance, including how I should be let in and where I should set up. If you use a key handover, entry code, concierge, or lockbox, we will agree the handover method in writing, and you will not send entry details in a way you would not be comfortable being forwarded. An adult needs to be present at the start of the booking unless we have agreed otherwise in writing. If I cannot get into the property at the booked time, or I cannot safely set up, the booked time may still be chargeable because I have held the slot and travelled to you.

What this is not

On-site chair massage is for comfort, relaxation, and everyday muscular tension. It is not medical care, and I do not diagnose conditions, prescribe treatment, or claim clinical outcomes. If someone has symptoms that need medical attention, they should speak to the right healthcare professional and follow that advice. If I think chair massage is not appropriate for someone on the day, I may decline the session or suggest they sit it out. That is about safety and suitability, not about making a judgement.

Photos and video

I only take photos or video that could identify you or your staff if you give me permission first. If you say no, it changes nothing about the service and I will not ask again on the day. If you say yes, you can change your mind later. If you want internal photos for your own comms, tell me what you have in mind and I will let you know what is workable without disrupting the schedule. I will not film participants during a session for my marketing without their clear permission.

Recurring rhythm

A recurring booking runs in periods. At the start of each period, I invoice for the sessions or coverage planned for that period, before those sessions take place. The booking continues period to period unless one of us ends it. To stop the recurring booking, you or I give notice in writing. The notice period is set by me and confirmed in writing for your booking, because it depends on how far ahead your dates are held in my calendar. If you end the booking, any sessions already paid for are handled as set out on your invoice and booking confirmation, including any rules on rescheduling within the current period.

Ending the arrangement

Either of us can end this arrangement by giving notice in writing. I will confirm what dates are still booked, what has already been delivered, and what happens to any remaining paid time based on the current period and the terms stated on your invoice and booking confirmation. I may also stop providing on-site chair massage immediately if conduct on site makes the work unsafe or unworkable. This includes harassment, aggressive behaviour, being pressured to work on someone who is not suitable for chair massage, or being asked to ignore building rules or basic hygiene. If that happens, you still pay for time already delivered and any time I have held and cannot rebook.

Questions about this contract template

Do you need a separate room for on-site chair massage?

On-site chair massage runs in a portable massage chair, so the contract assumes a suitable spot to set up rather than a treatment room. The client provides the setup area and a point of contact on the day.

How do chair massage sign-ups work at a workplace or event?

The contract says the therapist will help set a simple rotation and sign-up method so time is used well. The client controls who takes the slots and how internal communications are handled.

What does a chair massage therapist bring to an on-site booking?

The contract states the therapist brings the chair, consumables, and a basic hygiene kit. The client supplies the space to set up and access details needed to keep the run-of-day moving.

How does payment work for a recurring chair massage booking?

For a recurring booking, the therapist invoices at the start of each period before sessions in that period take place, and invoices are payable within 7 days. Any added time or extra coverage gets priced and confirmed in writing before delivery.

What happens if someone misses their chair massage slot?

The contract treats an unused slot as a missed slot if the chair is set up and someone doesn’t attend, rather than time that can be resold on site. Any no-show fee or rule is set by the therapist and stated in writing.

Do you need consent for photos or video during a chair massage booking?

The contract says identifiable photos or video only happen with permission first, and a “no” doesn’t change the service. The therapist also won’t film participants during a session for marketing without their clear permission.
