The run-of-show shifts, the light goes sideways, and the organiser still needs proof of what happened without a photographer turning the whole day into a production. An event photography proposal gives that job a written scope, a clear deliverables list, and terms that hold up when the plan changes. The pages use press-ink magenta and verdigris green with Space Grotesk headings over Inter body text, so the client can scan like a call sheet instead of reading a story.

The first sections keep the promise tight in In brief, then explain who’s turning up and how coverage gets handled in A bit about us, Meet the team, and Team. Recent work and Portfolio show what “proof” looks like across conferences, awards nights, and moving festival schedules, before the document spells out the deliverables in Edited event photo gallery and the planning that stops key moments getting missed in Run-of-show shot priorities plan. The back half answers the practical questions buyers ask, then lands on Booking and payment and Second photographer for changes, handover, and usage.

  • In brief Summarises the coverage approach and the delivery timeline, then names the steps for confirming the run-of-show and locking the date.
  • Edited event photo gallery Defines the gallery deliverable, including high-resolution downloads and a separate web-ready set, so the handover matches how comms teams publish.
  • Run-of-show shot priorities plan Turns the run-of-show into a one-page coverage plan, including a group shots call-up list and a usage licence limited to event coverage.
  • Pricing Holds the Full-day priced item, which means the only edit you need before sending is swapping in your own price.
  • Get started Carries the signature and fee summary for acceptance, and states the 25% booking payment step that reserves the date.

In Plutio, you replace the numbers for the single Full-day priced item, send the proposal, and the client accepts by signing online. Once the signature lands, the same terms you sent stay attached to the booking, including the 25% booking payment and the final balance due on gallery delivery.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in an event photography proposal

PartWhat it covers

In brief

Frames the coverage outcome and how the day gets approached when timings slide and light isn’t ideal. The section also names the next steps for confirming the run-of-show and shot priorities before the date is held.

A bit about us

Introduces the studio and how the team works on conferences, galas, and festival days. The section also explains what the buyer receives the photos for, including comms, sponsors, internal reporting, and planning.

Meet the team

States who the client deals with from booking through delivery so handover stays consistent. The section keeps the point of contact clear before any pricing appears.

Team

Lists the named roles and what each person handles on-site and in production, from tracking the run-of-show to managing editing and delivery. The section makes it clear when a second photographer becomes part of coverage.

Recent work

Introduces recent event coverage examples that focus on pace changes, mixed light, and key moments. The section sets context for the portfolio case studies that follow.

Portfolio

Shows example event jobs and what coverage included, plus how delivery was handled for speakers, groups, and context shots. The section also includes client feedback as social proof of the approach.

Edited event photo gallery

Defines what gets delivered in the gallery, including high-resolution downloads and a separate web-ready set. The section also describes how files are organised so sessions and moments stay findable.

Run-of-show shot priorities plan

Explains the one-page coverage plan built from the run-of-show and must-have list, including a group shots call-up list. The section also states the usage licence for event coverage and how broader usage gets priced.

Pricing

Carries a priced items block for coverage, with Full-day as the included item. You replace the shipped price with your own before you send it.

Get started

Carries the signature and fee summary so the client can accept the booking in writing. The section also states the 25% booking payment step and what gets sent next (run-of-show and must-have shots).

How do you handle low light indoors and mixed lighting?

Answers common buyer questions about low light, what the organiser needs to provide on the day, and handling last-minute schedule changes. The section spells out practical inputs like a final run-of-show, one point of contact, and help gathering group shots.

Booking and payment

States the 25% booking payment on signature, the 75% balance due on gallery handover, and the 14-day invoice term. The section also covers how plan changes get confirmed and what access and permissions the client arranges.

Second photographer

Explains what changes when the second photographer add-on is booked and how positions get coordinated to avoid coverage gaps. The section also restates delivery, usage licence terms, and what triggers final payment at handover.

Who it is for

Event photographers quoting conference coverage, gala dinners, awards nights, festival days, and corporate event documentation where the organiser needs reliable proof for comms and reporting.

The proposal in full

In brief

You’ll have a clean, complete visual record of the event, with the key moments covered and the in-between coverage that shows scale, energy, and attendance without pulling people away from the programme.

We’ll cover the room, the speakers, the people, and the moments that prove what happened, even when timings slide and the light isn’t kind. You’ll get a complete set of usable images, delivered on a clear timeline. Next, we’ll confirm your run-of-show and shot priorities, then lock the date.

We start with a venue walk-through and light check, then a short run-of-show and shot list call so we know what can’t be missed. On the day, we arrive early for room details, keep pace through speakers and networking, and run group shots and VIP portraits quickly so the schedule keeps moving.

A bit about us

We’re Cloître Studio, a small team in Arles covering conferences, galas, and festival days. Camille leads the photography on the floor, Julien backs up coverage when the schedule is dense, and Élodie keeps the plan, timings, and handover moving. We built our way of working around one fact: event schedules change, and the photos still have to land.

People book us when they need proof, not fuss. We work with mixed light instead of fighting it, we keep the group shots tight, and we stay close to the run-of-show so we are in place before the moment happens. You get pictures that are usable for comms, sponsors, internal reporting, and next year’s planning.

Meet the team

You’ll deal with the same three people from booking through delivery, so decisions stay quick and the coverage stays consistent.

Team

Camille Morel, Lead event photographer. Camille leads event photography coverage on-site, tracks the run-of-show, and keeps an eye on the moments you will need for reporting and comms.

Julien Faure, Second photographer. Julien shoots as second photographer when it is worth splitting the room, covering simultaneous moments, and keeping candid coverage flowing during transitions.

Élodie Girard, Production and bookings. Élodie handles bookings and production, collects the shot list and timings, and manages selection, editing flow, and delivery so you know what is coming when.

Recent work

Here are three recent event photography coverage jobs that show how we handle pace changes, mixed light, and the moments that matter.

Portfolio

Full-day conference coverage. Covered registration, stage talks, breakout sessions, sponsor stands, and networking across two floors. Delivered 620 edited images, with speakers turned around first so comms could post the same evening.

Gala dinner and awards night. Shot arrivals, cocktail hour, stage awards, table reactions, and sponsor branding in low light. Ran 14 group shots in 22 minutes with a fixed list and a clear call-up order.

Festival day documentation. Followed a moving schedule across outdoor and indoor spaces, from set-up through peak attendance. Delivered 780 edited images, including wide context shots that showed crowd size and site layout.

“They kept up with the schedule and delivered photos we could use immediately.”

Events manager, a multi-session conference

Edited event photo gallery

A curated, edited set of images covering the room, key moments, speakers, networking, and details. Delivered as an online gallery you can share with your team and partners.

HIGH-RESOLUTION DOWNLOADS

Print-ready files for press and sponsor use, delivered inside the gallery for simple downloading. We keep colour consistent across mixed lighting so sets look cohesive.

WEB-READY IMAGE SET

A second set sized for web, email, and social posts, so your team is not resizing on deadline. Filenames are organised so you can find sessions and moments quickly.

Run-of-show shot priorities plan

A one-page plan built from your run-of-show and must-have list, showing when we will cover speakers, key moments, and group shots. It keeps decisions quick on the day.

GROUP SHOTS CALL-UP LIST

A tightened list for formal shots, ordered to reduce waiting and keep VIPs moving. We run the call-up on-site so you are not stuck chasing people between sessions.

USAGE LICENCE FOR EVENT COVERAGE

Permission to use the delivered images across your own channels and event reporting, plus PR and sponsor recap needs connected to the event. If you need broader campaign usage, we will price it clearly.

Pricing

Pick the coverage length that matches your run time, then add a second photographer or portrait corner if you need two places covered at once.

Priced items

Get started

If you want us to hold the date, the next step is signing and booking in the coverage so you can keep building the event around it.

1. Sign this proposal to confirm the booking. 2. Pay the 25% booking payment so the date is reserved. 3. Send your run-of-show and must-have shots, then we schedule the recce and call.

Fee summary

How do you handle low light indoors and mixed lighting?

We plan for it instead of hoping it behaves. We check the room lighting during the walk-through, set a baseline for stage and audience, and adjust as we move. We also edit for consistent colour so the full set looks like one event.

WHAT DO YOU NEED FROM US ON THE DAY TO NOT MISS ANYTHING?

A final run-of-show, one point of contact, and a short must-not-miss list are the big three. If someone can help gather people for group shots, those formal pictures move much faster and the programme stays on time.

CAN YOU WORK AROUND A TIGHT RUN-OF-SHOW AND LAST-MINUTE CHANGES?

Yes. We shoot events where timings shift all the time, so we stay close to the stage manager or your lead contact, watch transitions, and move early. If two key moments can overlap, we will flag it and suggest the cleanest fix.

DO YOU BRING A SECOND SHOOTER, AND WHEN DO YOU RECOMMEND IT?

A second photographer helps when you have simultaneous sessions, a large venue footprint, or a lot of VIP interactions to cover while the main programme continues. Julien joins as the second photographer add-on, so coverage stays complete without gaps.

Booking and payment

To book the date, we take 25% when you sign. The remaining 75% is due when we hand over the finished gallery. Each invoice is payable within 14 days of its date.

Changes to the plan. If your run-of-show, locations, or coverage hours change, we’ll confirm the updated plan in writing. If the change adds time or a second photographer, we’ll price it before we proceed.

What we need from you. By the day before the event, we need the final run-of-show, one point of contact, and your must-not-miss list. For group photos, we need one helper to gather people on cue.

Access and permissions. You’ll arrange access to the venue areas we’re meant to photograph and any required passes. If the venue or speaker policy restricts photography, tell us as soon as you have it so we can adjust coverage.

Second photographer

If you book the second photographer add-on, Julien Faure covers the areas we agree in the shot priorities plan. We’ll coordinate positions so speaker moments and networking coverage don’t leave gaps.

Delivery and handover. We deliver an edited event photo gallery with high-resolution downloads and a web-ready set. We hand over via an online gallery link, and the final payment falls due when that link is sent.

Usage licence. You receive a usage licence for event coverage, including your website, social, press releases, and internal comms. We keep the copyright and can use a small selection in our portfolio unless you ask us not to.

Cancellation and postponement. If the event is postponed, we’ll move your booking to the new date if we’re available. If the event is cancelled, the booking payment stays with us to cover the date we held and prep time.

Questions about this proposal template

What should an event photography proposal include?

An event photography proposal usually covers the coverage scope, what gets delivered, pricing, and the booking and payment terms. This template also includes a run-of-show shot priorities plan, usage licence wording for event coverage, and an acceptance section with signature and fee summary.

How do photographers handle low light and mixed lighting at events?

Low light coverage usually starts with a venue walk-through and a light check, then settings get adjusted across stage and audience as the event moves. This proposal also states that editing aims for consistent colour across mixed lighting so the delivered set reads as one event.

What does the organiser need to provide so key moments don’t get missed?

Event coverage typically depends on a final run-of-show, one point of contact, and a short must-not-miss list. For group shots, this proposal asks for one helper to gather people on cue so formal photos don’t drag the programme off schedule.

Can event photography coverage adapt to last-minute schedule changes?

Event timings change often, so coverage plans need a run-of-show reference and quick decisions on priorities. The booking and payment terms in this proposal also say changes to run-of-show, locations, or coverage hours get confirmed in writing, and added time or a second photographer gets priced before proceeding.

When is a second photographer worth it at an event?

A second photographer helps when the room needs splitting for simultaneous moments or when transitions need candid coverage without leaving gaps. This proposal includes a second photographer section that ties the add-on to the shot priorities plan and coordination on positions.

When is payment due for event photography?

This proposal sets a 25% booking payment due when the client signs, with the remaining 75% due when the finished gallery is handed over. The payment terms also state that each invoice is payable within 14 days of its date.
