Missed corners and greasy touch points are the things people notice, and the follow-up emails start fast when the first clean doesn’t land. This cleaning proposal gives the buyer a written scope to check, a routine that stays the same, and a clear place to approve work before anyone hands over keys or alarm steps. The layout uses violet accents with Raleway headings and Roboto body text, so the pages read like a checklist instead of an ad.

The proposal opens with Overview and About us, then moves into who’s assigned and how the work gets done on site. The buyer sees a service schedule with access and key handling, an initial reset clean if needed, and the recurring visit routine, plus the cleaning checklist pages for kitchens, toilets and bathrooms, floors, bins, touch points, and edge details like skirting and radiator fins. The pricing sits under What it costs, and the last pages answer the questions that usually stall approval, including opening hours, supplies, deep clean versus regular, and access controls.

  • Overview Frames what gets cleaned and in what order, then ties the routine to the problem areas that trigger re-checks.
  • The service schedule Puts access, key steps, the reset clean, and the ongoing visit rhythm in writing so the buyer knows what a “visit” includes.
  • What it costs Holds the single priced item, Managed, so you replace the template numbers with your own rate before sending.
  • Getting started Carries the sign-off step and fee summary so the buyer can approve the schedule and start date in the same document.

Once the prices are swapped for yours, the proposal goes out for approval and gets signed online, leaving you with an agreed scope, a confirmed schedule, and the terms in writing before the first visit.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

The proposal in full

Overview

You can do a quick walk-through and find the usual problem spots already dealt with: corners, skirting, switches, sinks, and bins, ready for tenants, staff, or customers.

We’ll set access first, do an initial reset clean where it’s needed, then keep things steady with a simple visit routine and a checklist you can audit. You’ll get kitchens, toilets, floors, skirting, switches, and bins handled without follow up emails.

We start by agreeing access, priorities, and the standard you want checked on each visit. Then we clean in a set order so the same areas get the same attention every time: touch points, kitchens and toilets, floors, then edges like skirting, corners, and radiator fins. If something gets missed, you tell us and we re-do that area on the next visit.

About us

We’re a small cleaning team based in Innsbruck, and we do cleaning services for homes, offices, shops, and shared building areas. We built our routine around the places that trigger complaints and re-checks: bathrooms, kitchen grease, fingerprints on touch points, dust along edges, and bins that never quite stay under control between visits.

Most clients pick us because we make the work easy to manage. You get one point of contact, a written scope you can check, and a visit rhythm that stays the same week to week. We don’t rotate strangers through a site without telling you, and we don’t change what we clean midstream without agreeing it first, so your checklist and our work match.

Who you will work with

You’ll deal with the same four people, with clear roles, so keys, alarms, and site notes don’t get lost between messages.

Team

Johanna Leitner, Operations manager. Johanna handles scheduling, access notes, and invoicing, and she’s the person you contact when a clean needs moving or a key changes hands.

Markus Gruber, Site supervisor. Markus supervises sites, does first-time walk-throughs, and checks the edge details that tend to get missed, like skirting lines and radiator fins.

Elif Yilmaz, Cleaning technician. Elif leads the on-site cleaning on most visits and keeps the room-by-room checklist consistent, so the standard stays steady across weeks.

Tobias Huber, Cleaning technician. Tobias supports site work and focuses on floors, bins, and touch points, so entrances, kitchens, and toilets stay presentable between busy days.

Selected work

Here are three recent cleaning services jobs that show the sort of turnarounds and maintenance work we handle week in, week out.

Portfolio

Move-out flat handback. Move-out clean focused on kitchen grease, bathroom scale, and skirting dust, then a final check against a room list before keys were returned for the next handover.

Small office weekly clean. Weekly maintenance clean covering kitchen, toilets, desks, floors, bins, and touch points, with a quick note after each visit so the office manager can spot-check fast.

Stairwell and common areas. Stairwell and common area cleaning covering entry glass, handrails, landings, and bin area, done on a set day so residents stop flagging marks and smells.

“We stopped getting complaints, and handovers got quicker because the basics were done.”

The service schedule

We can run this as a one-off reset, a weekly or fortnightly maintenance clean, a stairwell schedule, or a move-out handback. Between visits you can reach Johanna by email or phone, and we log any access changes before the next clean.

1. Access and keys Once, at the start We agree access times, key pick-up or lockbox details, and any alarm steps you want followed. We note off-limits rooms, priority areas, and where you want photos or a quick message after the visit. You tell us who can approve changes if something on site needs a decision. 2. Reset clean Once, at the start If the space needs it, we start with an initial deep clean reset to bring kitchens, toilets, floors, and edges up to a baseline you can keep. We work top to bottom in each room, then do a walk-through check for corners, skirting, switches, and bin areas before we leave. 3. Maintenance visits Weekly On each regular visit we follow the same room order and the same checklist, so results don’t depend on who is on shift. We refresh kitchens and toilets, empty bins, wipe touch points, and clean floors, then finish with edges like skirting lines and the corners behind doors. 4. Handover cleans As needed For move-outs, post-build, and renovation cleaning, we plan the visit around the handback deadline and the state of the space. We focus on dust control, paint and plaster residue where it can be removed safely, and the spots that show up on inspection, then we do a final check against your room list.

Kitchen clean

Every visit. Worktops, sink, hob surface, splashbacks, and appliance fronts wiped down, with visible grease removed from handles and touch points.

TOILETS AND BATHROOM

Every visit. Toilets, basins, taps, mirrors, and shower or bath surfaces cleaned, with hair and residue removed from corners and along edges where it collects.

FLOORS

Every visit. Vacuum and mop as appropriate, including under reachable furniture edges, and marks at entrances and around bin areas handled first.

Bins and liners

Every visit. Internal bins emptied, liners replaced if supplied on site, and bin lids and surrounding floor wiped where spills or smells build up.

TOUCH POINTS

Every visit. Light switches, door handles, push plates, and shared controls wiped down, with fingerprints removed so surfaces look clean in a quick walk-through.

EDGES AND DETAIL POINTS

Every visit. Skirting, corners, door frames, and reachable radiator faces checked and dusted, because this is where missed work shows up first.

What it costs

These are typical starting points. Once we’ve seen the space and access, we’ll confirm the weekly plan and the handover clean rate in writing. Prices are per month.

Fee summary

Can you work around our opening hours or tenants?

Yes. We’ll agree an access window that fits your opening hours or tenant schedule, then keep that window consistent so you don’t have to renegotiate every week. If a week needs a change, Johanna will confirm the new time before the visit.

DO YOU BRING YOUR OWN KIT AND PRODUCTS, OR DO WE SUPPLY ANYTHING?

We bring our standard kit and cleaning products for regular work. If you want specific products used on site, you can supply them and we’ll use them as directed. For consumables like bin liners and soap, you can supply them or ask us to quote them separately.

What’s included in a deep clean versus a regular clean?

A regular clean keeps the space at its baseline: kitchens, toilets, floors, bins, touch points, and edges. A deep clean reset is the catch-up work that brings that baseline back when grease, scale, or built-up dust needs extra time, including detail points that routine visits don’t shift in one pass.

HOW DO YOU HANDLE KEYS, ALARM CODES, AND ACCESS?

We set access once at the start and keep it documented. Keys can be collected and returned, held securely by arrangement, or managed via lockbox. Alarm and entry steps are written as a short checklist, and only the people assigned to your site use them.

Payment

Each month is invoiced at the start of that month. Nothing is paid up front beyond that. Every invoice is payable within 7 days of its date.

Access. We’ll agree an access window and stick to it. You’ll arrange entry on the day, or provide keys or a lockbox. If we can’t get in, we’ll charge the visit as scheduled.

Keys and codes. We set access once at the start and keep it documented. Please don’t write alarm codes into this document. We’ll record entry steps as a short checklist and limit it to the team assigned.

What counts as a visit. A maintenance visit covers kitchen clean, toilets and bathroom, floors, bins and liners (if supplied), touch points, and edges and detail points. If a space needs reset-level time, we’ll flag it as a deep clean reset.

Extras and one-off work

Handover cleans, end of tenancy cleaning, deep clean resets, and post-build and renovation cleaning are booked as needed. We’ll quote or confirm the rate before we do the extra work.

Products and supplies. We bring our standard kit and cleaning products for regular work. If you want specific products used on site, you supply them and we’ll use them as directed. Consumables can be supplied by you or quoted separately.

If something’s missed. If you spot something that’s been missed, tell Johanna within a reasonable time and we’ll arrange a re-visit. The fastest fixes happen when we get a photo and access the same or next day.

Changes and cancellation. If you need to pause, change frequency, or end the plan, tell Johanna with the notice period set out in your schedule. For one-off cleans, changes depend on our diary and access arrangements.

Questions about this proposal template

What should a cleaning proposal include?

A cleaning proposal usually includes the scope of work, the service schedule, pricing, payment terms, and a way to approve the start. This one also covers access handling, what counts as a visit, and how one-off extras get quoted.

What’s the difference between a deep clean and a regular clean?

A regular clean keeps the space at its baseline, covering kitchens, toilets and bathrooms, floors, bins, touch points, and edge details. A deep clean reset is catch-up work for built-up grease, scale, or dust that routine visits don’t shift in one pass.

Do cleaners bring their own supplies and equipment?

Many cleaning services bring a standard kit and cleaning products for regular work, then use site-specific products if the client supplies them. Consumables like bin liners and soap can be supplied on site or quoted separately.

Can a cleaning service work around opening hours or tenants?

Cleaning schedules can be set around opening hours or tenant routines by agreeing an access window up front. Keeping that window consistent stops weekly renegotiation, and any changes can be confirmed before the visit.

How do cleaning companies handle keys, alarm codes, and access?

Access usually gets agreed once at the start and written down as entry steps, with keys collected, held securely by arrangement, or managed via lockbox. Alarm codes shouldn’t be written into a proposal, and access instructions should be limited to the assigned team.

What payment terms are typical for cleaning services?

Some cleaning services invoice at the start of each month for that month’s work, with a set due period such as 7 days from the invoice date. Access rules often sit alongside payment terms, because a missed entry can still count as a scheduled visit.
