Shirt merch gets ordered against a date, but the hard part is making sure the print that shows up matches the artwork and the delivery doesn’t slide past launch. This t-shirt printing quote is written to pin down the variables in order, so the buyer sees how mockup approval, a test print, and a wash check happen before the full run goes to ink. The layout uses inventory green accents with Zilla Slab headings over Inter body text, which keeps the checkpoints easy to spot while the details stay readable.

The document reads like a print shop walking the buyer through what gets checked, when it gets checked, and what counts as approval. The opening pages cover who’s doing the work and how the order moves from artwork and blank selection into production, then the scope calls out DTG printing, separations, and add-ons like names and numbers. Pricing lands after the production language, so the buyer understands the checkpoints before they decide which line items to take.

  • Summary Frames what gets delivered and the order the variables get locked, from blanks and size run through proofing before production.
  • How the order runs Spells out the checkpoints from mockup approval to test print and wash check, so the buyer knows what they’ll see before the full run.
  • Order summary Holds the priced table, where the client can choose line items and you replace the template pricing with your own.
  • Next steps Carries the signature and fee summary, plus the booking flow that starts with signing and a 50% payment.
  • Payment and Quantities and spoilage States deposits, due timing, approval rules, spoilage handling, and what shifts the timeline if blanks or replies come in late.

Once the details and prices are in place, you send the quote and the client accepts and signs online, leaving a record of the items chosen and the booking and payment terms agreed in Next steps.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

The proposal in full

Summary

You pick up or receive shirts that match your approved mockup, stay solid after a wash, and arrive counted and bagged by size so you can sell the same day.

Most people come to us when the date is fixed and the shirts still have to match the artwork on screen. You’ll have a counted, bagged size run that’s ready to sell, with a test print and wash check before we run the full order. If you’re ready, we’ll start with your artwork and quantities and send a mockup to approve.

We’ll lock the variables in the right order: the blank and size run first, then the print file, then a test print you can judge in real ink on the real shirt. Once you approve the mockup and the test print, we run the full print, count every size, and bag by order so nothing gets missed.

Who you are working with

We’re a four-person print shop that focuses on one thing: getting a t-shirt printing run out the door on the date you’re aiming for, with color and placement checked before the full run starts. We do DTG on your tees or ours, screen print for bulk runs, and heat-transfer vinyl for names and numbers when the list has to be personalized.

Most print problems happen when the file, the blank, and the schedule are treated like separate jobs. We keep them in one lane. We preflight your art, we pick the blank with you before we promise a print result, and we run a test print and wash check before we commit the whole order to ink. That is how dull prints and last-minute surprises get prevented.

How the order runs

After you place the order, we move from mockup approval to a test print you can judge, then into production. Each checkpoint is there so you see color, placement, and feel before we print the full run and start bagging.

1. Mockup approval On order You send your artwork and the quantities by size. Gabe preflights the file and builds a print mockup that shows placement and print size. You approve the mockup, or mark changes, before we touch production. 2. Blanks and size run Within 1 day You choose customer-supplied tees or our shop-supplied blanks. Marisol confirms blank brand, color, and sizes for the run, then we reserve what we need. If a size or color is tight, we flag it before we take the job into print. 3. Test print and wash Within 2 days Janelle runs a test print using the approved file and the chosen blank. We do a wash check so we can see how the print holds up. If anything shifts, we adjust the file or ink approach and send an updated proof before the full run. 4. Run, count, and bag On production We print the full t-shirt printing run, then count by size against your size list. We collate and bag by order so it is ready for sales, staff handouts, or fulfillment. We confirm pickup or shipping once everything is packed.

DTG printing (run)

Direct-to-garment printing on customer-supplied tees or our shop-supplied blanks, using your approved mockup for placement and size, across the full size run you provide.

ARTWORK PREFLIGHT AND CLEANUP

File check for resolution, transparency, and print size, plus basic cleanup so the print matches the proof. Includes setting the correct canvas size for the chosen garment.

PRINT-READY SEPARATIONS

Separations prepared for the chosen print method where needed, including underbase planning for dark garments, so color holds up and fine detail does not fill in.

Test print and wash check

One test print on the selected blank, followed by a wash check. Any required tweaks are made before the full run begins so you do not find out at the end.

SIZE RUN COLLATION AND BAGGING

Counts verified against your size list, then bagged by order or by size, with clear labels so your team can hand out, sell, or ship without resorting.

HEAT-TRANSFER VINYL ADD-ON

Names and numbers applied by heat-transfer vinyl when you provide the list and placement. Each shirt is checked against the list before bagging so the wrong name does not leave the shop.

Order summary

Pricing below shows a typical 150-shirt t-shirt printing run with one front print, a test print and wash check, and size run collation and bagging.

What’s the price per shirt at

12, 50, AND 200?

Price per shirt depends on blank choice, print method (DTG or screen print), number of print locations, and how many colors we’re holding. Tell us the sizes, print locations, and blank preference, and we’ll quote 12, 50, and 200 side by side.

CAN YOU MATCH THIS PANTONE OR BRAND COLOR?

We can usually get very close, and we’ll tell you when the fabric or print method limits the match. The safest path is a test print on the actual blank, judged under the lighting you sell under. If you have a Pantone callout, include it with the art.

What blanks do you have right now in stock, and what colors?

Our on-hand blank stock changes week to week, so we confirm it when we quote. If you tell us the brand and color you want, we’ll reserve it when you place the order, or we’ll offer two alternatives we can get in time.

IF I SEND A PNG TODAY, WHEN CAN I PICK UP OR SHIP?

Send the PNG and the target in-hands date, and we’ll answer with the first pickup day we can commit to. If the file needs cleanup or the blank needs ordering, that adds time. We’ll map the timeline around mockup approval and the test print.

Payment

To book the work, we take 50% when you sign. The other 50% is due when the order is delivered. Invoices are due within 14 days of the invoice date.

Mockup approval. We start production steps after you approve the mockup for size, placement, and garment color. Changes after approval can add time and may require a new test print before we run the full order.

Color match. We can usually get very close to Pantone and brand colors, and we’ll tell you when the blank or print method limits the match. The test print and wash check is the go or no-go checkpoint.

Customer-supplied blanks. If you supply tees, we need them all in-hand before we schedule the run. We count incoming pieces by size, and we’ll flag any mismatched styles, damage, or mixed dye lots before printing.

Quantities and spoilage

Printing has a small spoilage rate. If a shirt fails during print or wash check, we replace it from the same blank when available, or we credit the print charge for that piece.

Timeline holds. The dates we quote assume same-day replies on mockup approval and any replacement art requests. If approvals or blanks arrive late, the schedule shifts by the same amount because the test print happens before the run.

Pickup and shipping. Pickup is available when we mark the order ready. If we’re shipping, you pay the carrier charges at cost, and the in-hands date depends on the carrier once it leaves our shop.

Limits. We’re responsible for printing to the approved mockup on the blanks we print. We can’t cover issues inside the supplied artwork files, garment manufacturing defects, or color changes caused by different lighting where you sell.

Questions about this proposal template

What should a t-shirt printing quote include?

A t-shirt printing quote usually covers the print method, the checkpoints before production, the priced items, and the terms for approvals and payment. This one also includes spoilage and timeline holds tied to mockup replies and blank availability.

How do print shops price shirts at 12, 50, and 200?

Per-shirt pricing changes with blank choice, print method, print locations, and how many colors are being held. The quote text calls out those variables and asks for sizes, print locations, and blank preference so the numbers can be compared side by side.

Can a print shop match Pantone or brand colors on shirts?

A close match is often possible, but the blank fabric and print method can limit the result. The template treats a test print on the actual blank as the go or no-go checkpoint before the full run.

When does production start for a t-shirt printing order?

The template ties production steps to mockup approval for size, placement, and garment color. Changes after approval can add time and may require a new test print before the full run.

Do t-shirt printing quotes usually require a deposit?

This quote’s terms take 50% when the client signs to book the work, with the remaining 50% due on delivery. Invoice due timing is stated as 14 days from the invoice date.

What is spoilage in t-shirt printing, and how is it handled?

Spoilage is the small number of shirts that can fail during printing or checking. The template says failed pieces get replaced from the same blank when available, or the print charge for that piece is credited.
