Creating and managing templates
Any item can be saved as a template from its settings or options menu. The save action captures the entity's current structure, content, and configuration as a reusable starting point, so any project, invoice, proposal, contract, form, wiki, custom page, automation, or booking page that's been set up well can become a template in one step.
How to save an entity as a template
- Open the entity you want to turn into a template (a project, invoice, proposal, contract, form, or any other supported type).
- Open the settings or options menu. Look for the three-dot menu ("...") or the settings icon on the entity page.
- Click "Save as template". A dialog opens asking for a template title and an optional description.
- Enter a title that makes the template easy to identify later. For example, "Web Design Project Template" or "Monthly Retainer Invoice".
- Add a description (optional). The description helps your team understand when to use this template.
- Click "Save". Plutio captures everything: block layouts, field values, task structures (for projects), pricing tables (for invoices and proposals), automation nodes, and design settings. The template appears in Settings and in the template dropdown when creating new entities of that type.
What gets saved per type
| Type | What the template captures |
|---|---|
| Project | Task boards, task groups, tasks, assignee roles, due date offsets, custom field values, project settings |
| Invoice | Block layout, line item structure, text blocks, design settings, intro block |
| Proposal | Block layout, service tables, text content, cover page, design settings |
| Contract | Block layout, text content, signature block placement, design settings |
| Form | Field types, field order, conditional logic, payment settings, multi-page layout |
| Booking page | Duration, location, availability, buffer time, form fields, payment settings |
| Wiki | Page structure, content blocks, navigation |
| Custom page | Chart types, data sources, widget layout |
| Automation | Trigger, conditions, action nodes, node settings |
How to use a template when creating
- Start creating a new entity (for example, click "Create project" or "Create invoice").
- Select a template from the template dropdown at the top of the creation form or editor. The template's structure fills in automatically.
- Adjust any pre-filled content as needed. Everything from the template can still be edited before saving.
- Save the new entity. Saving doesn't affect the original template, so the template stays unchanged for next time.
How to manage templates in Settings
- Go to Settings from the main menu.
- Open the Templates section. All saved templates are listed, organised by type (projects, invoices, proposals, contracts, forms, and so on).
- Edit a template by clicking on it. The template opens in the same editor used for that type. A proposal template opens in the proposal block editor, a project template opens with task boards and settings, and an automation template opens in the visual builder.
- Rename, duplicate, or delete templates from the options menu on each row.
Changes to a template update the saved configuration without affecting any entities that were previously created from it. Each entity created from a template is fully independent after creation.
Template library (community templates)
The template library is a collection of pre-built templates shared by the Plutio community. Templates can be browsed by category and imported into your workspace in one click. Imported templates appear alongside your own in the template dropdown.
Templates from your workspace can also be shared publicly to the library, making them available to other Plutio users.
