Glossary of terms
A quick reference for every term you'll come across in your workspace.
| Term | What it means |
|---|---|
| Workspace | Your entire account on your subdomain (e.g., yourname.plutio.com). Everything - projects, contacts, invoices, settings - lives inside one workspace. |
| Main menu | The navigation panel on the left side of your screen. It lists every feature you have access to. Can be customised per role. |
| Productivity bar | The bar on the right side of your screen with pinned conversations, notes, calendar, notifications, your profile, and in-app support. |
| Spotlight search | The search overlay you open with Cmd/Ctrl + K. Searches across everything in your workspace. |
| Project | A container that holds tasks, files, conversations, invoices, proposals, contracts, timesheets, and more. Everything related to one engagement lives inside a project. |
| Task board | A board of tasks inside a project. Each project can have multiple task boards. Tasks are organised into task groups (columns) within a board. |
| Task set | A standalone task board that doesn't belong to a project. Used for lightweight personal work or cross-project tracking. |
| Task group | A column on a task board. Tasks are organised into groups like "To do", "In progress", and "Done." |
| Channel | A multi-person conversation in the Inbox. Channels can be public (anyone can join), private (invite only), or announcement-only (only specific people can post). |
| Direct message | A one-on-one conversation between two people in the Inbox. |
| Project chat | A conversation attached to a specific project. Appears both in the Inbox and inside the project's Conversations tab. |
| Shared inbox | A connected email account (Gmail, Outlook, or IMAP) that's shared with team members so everyone can see and respond to incoming emails. |
| Messenger | An embeddable live chat widget you can add to your website, proposals, invoices, and contracts. Conversations from the messenger appear in your Inbox. |
| Snippet | Pre-saved content (text, images, tables) you can insert into conversations, comments, proposals, contracts, and invoices with one click. |
| Custom page | An interactive page you build with draggable blocks (charts, metrics, lists, text, embeds). Can serve as a dashboard, client portal, or project home page. |
| Custom field | A field you create yourself and attach to a type of item (task, project, contact, invoice, etc.). For example, a "Priority" dropdown on tasks or an "Industry" field on companies. |
| Smart field | A merge variable you insert into proposals, contracts, invoices, and email templates. Smart fields auto-fill with data from the contact, project, or workspace (e.g., client name, project title, invoice total). |
| Subscription | A recurring invoice. It generates a new invoice automatically on the schedule you set (weekly, monthly, etc.). |
| Transaction | An individual payment record. Can be linked to an invoice or stand alone. |
| Automation | A rule that runs automatically when something happens. For example: "When a form is submitted, create a task and send an email." |
| Trigger | The event that starts an automation (e.g., created, edited, deleted, submitted, scheduled, webhook). |
| Action | What an automation does after the trigger fires (e.g., create a task, send an email, update a status). |
| Condition | A check that runs between a trigger and its actions. If the condition isn't met, the actions don't run. |
| Role | A set of permissions assigned to a person. Built-in roles: Owner, Co-owner, Team, Client. You can also create custom roles. |
| White label | An add-on that removes all Plutio branding from your workspace so clients only see your brand. |
| Plutio Pal | The built-in AI assistant. Open it with P or from the main menu. Can create tasks, events, invoices, send messages, track time, and answer questions about your data. |
| View editor | A toolbar tool that lets you choose which columns or fields are visible in a Table or List view, and save that configuration as a default for yourself or for a role. |
| Stats bar | A bar below the toolbar that shows aggregate numbers for the current page (e.g., total tasks, total amount due). |
| Bulk actions | A footer bar that appears when you select multiple items on a page. Lets you archive, delete, complete, assign, or change dates on all selected items at once. |
