Using task boards as sales pipelines
Task boards double as visual sales pipelines when columns represent deal stages and cards represent individual opportunities. Each deal moves between stages by dragging, with custom fields tracking deal value and close dates. Here's how to set one up.
- Create a task board. From the Tasks section, create a new task board (or a project dedicated to sales). The board opens in Kanban view by default, where columns represent statuses and cards represent individual items.
- Set up pipeline stages as columns. Rename the default columns to match your pipeline: Lead, Qualified, Proposal Sent, Won, and Lost (or any stages that fit your sales process). Each column represents a stage, and cards move between columns as deals progress.
- Add deals as task cards. Create a task card for each deal. The card title is the deal name (e.g., the client or company name). The description holds notes, next steps, and context about the opportunity. Assignees determine which team member owns the deal.
- Add custom fields for deal data. Add custom fields to the task board for deal-specific information: a number field for deal value, a date field for expected close date, a dropdown for lead source, and any other qualifying data. Custom fields appear on each card and can be used for filtering and sorting.
- Drag cards between stages. As a deal progresses, drag the card from one column to the next. Moving a card from "Qualified" to "Proposal Sent" visually reflects the deal's current position. The board gives an at-a-glance view of where every deal sits in the pipeline.
- Filter and sort. The board can be filtered by assignee, custom field value, or date range. Filtering by assignee shows a specific team member's pipeline. Sorting by deal value or close date prioritises the most important opportunities at the top.
Pipeline visualisation
Board view displays all stages side by side, so the number of cards in each column immediately shows where deals are clustering. Switching to list view provides a table format with columns for every field, which is useful for exporting data or reviewing deal details in bulk. The same task board data can be viewed as a board for visual pipeline management or as a list for detailed review, without duplicating anything.
