Our job is to keep your cohort on a steady weekly rhythm with a plan the group can follow, so you are not improvising or carrying the room alone. The details below explain what’s included, how billing works for a recurring engagement, and how we handle the common edge cases that come up in live cohorts.

Your order (the accepted proposal, statement of work, or order email) is where we confirm the practical details: the start date, the length of the initial term, the weekly call cadence, the platforms we’re using, the price for each billing period, and anything you have asked us to include that is specific to this cohort. These standard terms explain how we run the work day to day. If something in your order conflicts with these standard terms, we follow the order for that point only, and everything else stays the same. If we agree a change later, we both confirm it in writing before we act on it.

What you get

We deliver cohort programme delivery on a recurring basis, for the cohort(s) and time period set out in your order. This covers build-out, facilitation, weekly delivery, and member support for the programme team and participant group sizes described in your order.

Payment

This is a recurring engagement. We invoice at the start of each month of work for that month’s cohort programme delivery. Nothing is paid up front beyond the first month’s invoice for the first month of work.

Each invoice is payable within 7 days of its date. We start that month’s work, and we keep delivering week to week, once that invoice is paid. If an invoice goes past due, we pause live calls, office hours, and community moderation until the invoice is brought up to date, and we’ll work with you on a sensible plan to get the cohort back on rhythm. You are still responsible for payment for time already scheduled and held for you that month.

Using the materials

We may create or refine programme assets as part of cohort programme delivery (for example: session run of show documents, onboarding scripts, moderation playbooks, and curriculum support materials). Once the invoice for the period they were created in is paid, you can use those materials inside your programme for the learners and cohorts covered by your order.

This is a licence to use, not a transfer of ownership. You cannot resell, publish, or give our materials to another business, another facilitator, or another cohort operator to run without us. If you want to reuse them with a different delivery team or beyond the scope you ordered, tell us and we will agree the expanded use in writing first.

Renewal and notice

Your order sets the initial term for this recurring engagement. At the end of that term, we continue month to month on the same scope and cadence unless either of us gives notice that we do not want to renew.

Because cohort planning depends on calendars, staffing, and participant expectations, we agree the notice period with you in writing in your order (or in a later written update if your cohort timeline changes). If you give notice, we will confirm the final month of delivery we will invoice for and the last live session we will staff. If you want to restart after a break, we treat it as a new start with a fresh run of show and onboarding check.

What we’re responsible for

We are responsible for delivering what you ordered: the build-out, facilitation, weekly Zoom delivery, and member management tasks listed, using the team roles we’ve agreed. We will show up prepared, run calls to the session plan, and step in live if someone dominates or derails, then follow up privately with a clear boundary that protects the group.

We are not responsible for your participants’ attendance, homework completion, results, or business outcomes. You are responsible for the accuracy and legality of your programme content, your claims, and any advice given under your brand. If attendance drops or enrolment is lower than planned, we do not cancel by default. We adjust into a small-group format so sessions still work for the people who show up, and we agree any change to call length or cadence in writing before we do it.

Ending the work

Either of us can end cohort programme delivery by giving notice. We agree the notice period with you in writing (usually in the order, because it needs to match your cohort calendar). Until the end date, we keep delivering to the agreed run of show as long as invoices are paid on time.

When the work ends, you pay for work already delivered and any time already reserved for you in the current invoiced period. We hand over the current versions of the materials created for your programme during the paid periods, plus a short written wrap-up of the cohort status (what’s in motion, what’s queued, and any participant support threads that need your follow-up). If you chose to record calls, you are responsible for participant consent, storage, and access controls, and we will help you keep the handover orderly.
