Accountability only works when the week goes sideways and nobody’s guessing what happens next. The Online Coaching Contract contract gives weekly online coaching a clear set of terms a client can read and sign, covering what support looks like between check-ins and what changes when travel, injuries, or missed weeks show up.

The contract starts by tying coaching back to the offer the client accepted, then spells out what “weekly” includes beyond a call, including messaging, plan updates, and form video review. Payment and renewal language sits next to the parts clients worry about most: what happens if an invoice runs late, how pauses and notice windows work, what carryover rules apply when a week gets missed, and where refunds don’t apply. Health, injury reporting, training risk, and media permission all get their own space, so boundaries stay clear without turning coaching into a waiver. The pages run in olive and magenta with Syne headings over Inter body text, so the important clauses read like instructions, not marketing.

  • It covers our weekly online coaching Opens by anchoring the agreement to the accepted offer and the week-to-week working arrangement before money or policies come up.
  • Scope of work Defines what coaching includes across plans, messages, check-ins, and video review, including training with or without a gym.
  • Payment Explains billing timing, due windows, and what gets paused when payment is late, without resetting the training plan.
  • How weekly check-ins work States what information a check-in needs and how the plan gets adjusted when the week changes.
  • Ending the arrangement Covers written notice, what happens mid-period, and carries the signature block for acceptance.

Once the contract is in your workspace, you replace the names, dates, and terms that need to match your own coaching, then send it for online signature. Signed copies keep the same wording the client saw when they agreed, including the renewal and notice language that usually turns into back-and-forth messages later.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

PartWhat it covers

It covers our weekly online coaching

Opens the agreement and frames how coaching runs week to week, tying the service back to the accepted offer so both sides mean the same thing.

Scope of work

Explains what gets delivered remotely across plans, messages, and check-ins, including how equipment, travel, and form video fit in.

Payment

States when billing happens, when payment is due, and what changes if an invoice is late, including pausing updates until the account is current.

Pauses and missed sessions

Describes how pauses or cancellation get requested in writing, how notice windows apply, and what happens if coaching is paused from the coach’s side.

Using your membership

Defines coaching as a renewing membership and clarifies what happens when a check-in week is missed, including carryover and refund limits where they apply.

Health and injuries

Sets the expectation that health changes get shared early and explains how training gets adjusted when pain, injury, or restrictions come up.

Training risk

Acknowledges normal training risks and separates the client’s responsibility for load and environment from the coach’s duty of care.

How weekly check-ins work

Spells out the check-in day, what information the coach needs, and how edits for the next week get delivered when schedules change.

Photos and video use

Covers technique video sharing and sets permission rules for posting or case studies, including the option to withdraw consent later.

Ongoing billing

Confirms recurring billing and renewal, explains how written notice stops renewal, and how membership changes take effect at the next billing date.

Ending the arrangement

Closes out notice and conduct terms and includes the Signature block so the client can accept the agreement online.

Who it is for

Online coaches and strength coaches who run weekly check-ins and recurring memberships, and need the scope, billing, and pause rules agreed before coaching starts.

The contract in full

It covers our weekly online coaching, as described in the proposal you accepted (where there is one), and it sets out how we work together week to week.

Our job is to give you a plan that fits your real schedule, review what happened, and adjust the next week so you are not guessing. Your job is to check in on the agreed day and train to the plan as closely as your week allows, telling us early when travel, late dinners, or a disrupted week changes what is realistic.

Scope of work

Weekly online coaching is delivered remotely through your training plan, messages, and your weekly check-in. There is no fixed session length. Each week includes your plan for the week, our review of your check-in, and any updates we make based on your schedule, gym or home kit, and form videos you send.

You do not need a gym. Bring your best information instead: what equipment you have, what days you can train, and any travel or work constraints coming up.

Payment

Weekly online coaching is invoiced at the start of each billing period, before the weeks in that period take place. We do not take any payment up front beyond the period you are starting. Coaching starts once the first invoice is paid.

Every invoice is payable within 7 days of its date. If an invoice is not paid on time, we will pause new plan updates and check-in replies until your account is up to date. Your training plan does not reset when this happens. We pick up from where you are once payment is received.

Pauses and missed sessions

If you want to pause or cancel weekly online coaching, tell us in writing. The notice window is set by the owner and confirmed on your invoice. If you message after the notice window, we will treat that period as going ahead, because time has already been reserved for check-ins, plan edits, and support.

If we ever need to pause coaching from our side (for example, coach illness or a platform outage), we will tell you as soon as we can and either extend your current period or credit the missed time. Any late-cancellation or no-show fees, if the owner uses them, are set by the owner and confirmed on your invoice.

Using your membership

Weekly online coaching runs as a membership that renews each billing period unless you cancel with the agreed notice. Your coaching time is used as it happens each week: intake, plan writing, check-in review, messaging, video review, and plan updates.

If you miss a check-in week, you can still send it late and we will respond when we are next working your account, but we do not “bank” that week as a future extra week unless the owner has confirmed a carryover rule for your membership. Refunds are not given for weeks already delivered. Any rules about carryover, credits, or whether a membership period can expire are set by the owner and confirmed on your invoice.

Health and injuries

Before we start, and any time something changes, you tell us about anything that could affect your training or nutrition work with us. This includes injuries, pain that changes how you move, surgery history we should know about, medical conditions, medications that affect training tolerance, pregnancy, and any allergies or food restrictions that matter for the targets we set.

If something comes up mid-week, message us rather than pushing through and hoping it settles. We may change exercises, reduce loading, adjust volume, or pause certain movements. If we think you need a clinician’s input before continuing with a specific issue, we will ask you to get that help and we will programme around it in the meantime.

Training risk

You understand that strength training, conditioning work, and changes in nutrition and activity come with normal risks. These can include muscle soreness, strains, aggravating an existing issue, dizziness, or injury from poor execution or inappropriate loading.

You take part by choice and you are responsible for the loads you select, the space you train in, and stopping when something feels wrong. Our role is to coach you with care, give you progressions and regressions, and respond to your check-ins and videos. This clause does not cover carelessness on our side, and it is not a promise that nothing can go wrong.

How weekly check-ins work

We set your weekly check-in day at the start. On that day, you send your check-in, and we reply with feedback and edits for the coming week so your plan matches your real schedule.

To keep weekly online coaching moving, we need your weekly check-in, your training completion, and a short note on steps, sleep, and anything that affected the week. If we ask for form video, a few phone clips is enough. If your week blows up, tell us in your check-in or message as soon as you can. We will adjust the week to the time and equipment you do have and set a minimum plan you can complete.

Photos and video use

We may ask you to send training videos so we can coach technique, and you can choose what you share. We do not post or share your photos, videos, check-in screenshots, or results without your permission.

If you ever do give permission for a post or a case study, you can say no to specific media or platforms, and you can withdraw permission later. Saying no does not change your service, your place in our schedule, or how we coach you. If you withdraw permission after something has already been published, we will stop using it going forward and remove it from places we control where we reasonably can.

Ongoing billing

Weekly online coaching is recurring. We invoice at the start of each billing period, before that period begins, and your membership renews automatically each period unless you cancel.

To stop the renewal, you tell us in writing, and the notice window is set by the owner and confirmed on your invoice. If you are changing your membership option (for example, a monthly option to a different option), the change takes effect at the next billing date. We cannot apply a new price to a period that has already been invoiced, because that invoice covers the coaching time reserved for that period.

Ending the arrangement

Either side can end this arrangement with written notice. The notice period is set by the owner and confirmed on your invoice. If you end during a paid period, we will keep coaching through the end of that period unless you ask us to stop earlier. We do not refund weeks already delivered.

We may stop working with you immediately if your conduct toward our team is abusive, threatening, discriminatory, or makes it unsafe to continue. We may also end coaching if you repeatedly ignore safety guidance (for example, pushing loads or movements we have asked you not to do) or if you are not engaging at all and we cannot get what we need to coach you. If we end coaching after you have paid for a future period, we will credit or refund the unused portion, unless the reason we ended it makes that inappropriate (for example, threats or harassment).

Questions about this contract template

What should an online coaching contract include?

An online coaching contract usually covers the scope of weekly support, how check-ins work, billing and renewals, and what happens when weeks get missed or paused. The agreement also needs health and injury reporting terms, training risk language, and a clear ending and notice process.

How do weekly check-ins usually work in online coaching?

Weekly check-ins usually land on an agreed day, with the client sending updates and the coach replying with feedback and edits for the coming week. The contract can spell out what the coach needs each week, like training completion and notes on sleep, steps, and schedule changes.

What happens if a client pays late for online coaching?

A coaching agreement can state that billing happens at the start of a period and that invoices have a due window. This contract explains that plan updates and check-in replies pause until payment is received, and coaching continues from the current point rather than restarting.

Can an online coach pause or cancel coaching mid-membership period?

A contract can require written notice to pause or cancel and can tie the notice window to what’s confirmed on the invoice. This template also covers what happens when notice arrives late, since time has already been reserved for check-ins and plan edits.

Do clients need a gym for online strength coaching?

Clients don’t always need a gym, but the coach needs accurate information about equipment and available training days. This contract’s scope language makes room for home kit, travel, and constraints that change what’s realistic week to week.

Can an online coach use client photos or training videos for marketing?

A coaching contract can say that photos, videos, and screenshots won’t be shared without permission. This template also covers limiting where content appears and withdrawing consent later, without changing the client’s service.
