A job change can look right on paper and still feel wrong six months later, and interviews can turn into a rare shot you don’t want to waste. A career coaching contract gives both sides the same ground rules before sessions start, so the work has clear next steps when decisions get heavy.

The contract starts by tying the terms back to an accepted proposal, then explains what a session is and what the client needs to bring. Payment and scheduling sections spell out when invoices are due, when time gets held, and what happens around late cancellations and no-shows. The pages sit under Space Grotesk headings with an upholstery-rose accent and a teal-green counterpoint, so the client reads the boundaries before they get to the signature.

  • Accepted proposal context Connects the contract terms to the proposal the client already accepted, so scope and pricing stay anchored to that agreement.
  • What you’re booking Defines what a session is, how sessions get scheduled, and what materials the client should bring for job search and interview work.
  • Payment and scheduling Covers invoicing in advance, the 7-day payment window, and what happens if payment is still outstanding.
  • Rescheduling rules Explains cancellation, late-cancellation, and no-show handling, with the actual window and fees coming from the booking link or invoice.
  • Ending the work Sets out how either side gives notice, when coaching can end immediately, and what happens to prepaid sessions and outstanding invoices.

Once the contract is in Plutio, you fill in your names, dates, and rates, then send it to a client to sign online. After signing, the contract stands as the reference for session booking, recurring renewals, and any wrap-up if the work ends early.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

Who it is for

Career coaches running 1:1 sessions, packs, or memberships and needing written terms for payment, rescheduling, and the point where the work ends.

The contract in full

If you’ve accepted a proposal from me, that proposal sets what you chose to book and the pricing, and these terms explain how the work runs day to day. Once we’re both aligned on the plan and you’re booked in, I’ll guide the process with clear next steps so you can make decisions based on your options, timeline, and pay requirements.

What you’re booking

A session is a 1:1 career coaching call, held by video or phone unless I confirm something else in writing. Sessions are scheduled in advance, last the length shown on your booking link or invoice, and you’re booking the number of sessions shown there.

Please bring anything that will make the time useful: the job posting you’re targeting, your current resume, your LinkedIn link, recruiter notes, an internal job description, or an offer details sheet. If you have an interview date or application deadline, tell me early so I can suggest a tighter sequence and hold practice slots once you’re paid.

Payment

Career coaching is invoiced in advance. If you’re on a recurring membership or term, I invoice at the start of each period, before the sessions in that period take place. If you’re booking a pack, I invoice at the start of the pack, before we use those sessions.

Every invoice is payable within 7 days of its date. I hold session times once the invoice is paid. If payment is still outstanding, I may release the time on my calendar and we’ll rebook when you’re ready. Any platform or bank fees that apply to your chosen payment method are your responsibility unless I agree otherwise in writing.

Rescheduling and missed sessions

If you need to cancel or reschedule a booked session, tell me as soon as you can. My cancellation window, late-cancellation fee, and no-show fee are set by me and shown on your booking link or invoice so you have them in writing before you book.

If you cancel inside that window, or if you miss the session, I’ll treat it as a late cancellation or no-show and apply the fee or session loss shown for your booking. If I need to cancel a session, I’ll give you as much notice as I reasonably can and we’ll reschedule. If rescheduling does not work for you, I’ll refund any prepaid time for that cancelled session.

Using a pack or membership

If you buy a pack or a recurring membership, sessions are booked from that balance as we go, based on your target role and your timeline. I’ll offer available session times and you can book what fits, and if you have an interview loop coming up I can suggest a closer cadence once I know your dates.

Whether unused sessions carry over, whether a pack has an expiration or use-by window, and whether any refund is available are decisions I set. Whatever applies to your purchase will be shown on your invoice so it’s clear in writing. I do not refund sessions that were already delivered, or time I held that you did not use due to late cancellation or a no-show.

What coaching is and isn’t

Career coaching is practical support for decisions, job search materials, interview practice, and negotiation planning. It can help you think clearly and show up prepared, but it isn’t therapy, counseling, or mental health treatment.

I’m not diagnosing, treating, or advising on medical or mental health conditions, and I can’t promise a specific job offer, promotion, compensation outcome, or timeline. If something comes up that feels like it needs clinical support or another licensed professional, I’ll tell you and I expect you to seek the right professional for that need. Coaching works best when we keep it grounded in your real options and constraints.

Recurring billing

If you’re on a recurring membership or term, your plan renews each period and I invoice at the start of that period, before the sessions in it take place. The length of your billing period and what it includes are the ones shown on your proposal and invoice.

You can stop renewal by giving me notice. I’ll use a notice period that I set and confirm in writing with you, and I’ll treat your message as received when I can read it during normal working hours. If you stop renewal, you can still use any sessions already paid for within any use-by rules shown on your invoice. I don’t “pause” time already billed unless I agree it with you in writing.

Ending the work

Either of us can end career coaching by giving notice. I’ll confirm the notice period with you in writing so we’re both working from the same timeline.

If we end the arrangement, you’ll still owe any invoices already issued, and you can use any prepaid sessions that remain, subject to the pack or membership rules shown on your invoice. I may also end the work immediately if your conduct makes sessions unsafe, threatening, or repeatedly disrespectful, or if I believe continuing would not be responsible. If that happens, I’ll refund any prepaid sessions that I have not delivered, minus any late-cancellation or no-show amounts that already apply.

Questions about this contract template

What should a career coaching contract include?

A career coaching contract usually includes what’s being booked, how sessions are scheduled, when payment is due, and how rescheduling and no-shows are handled. This one also covers packs or memberships, recurring billing, what coaching is and isn’t, and how either side can end the work.

Do career coaches invoice in advance?

Many career coaches invoice in advance, especially for session packs or memberships. This contract states that invoices are issued before sessions take place and that session times are held once the invoice is paid.

How do late cancellations and no-shows work for coaching sessions?

Late cancellations and no-shows usually follow a written window and a fee or session loss rule. This contract points to the cancellation window and the late-cancellation and no-show fees shown on the booking link or invoice.

Can a coaching membership renew automatically, and how do I stop it?

A coaching membership can renew each billing period as long as both sides agree to that structure. This contract says renewal can be stopped by giving notice, with the notice period confirmed in writing.

Is career coaching considered therapy or counseling?

Career coaching isn’t therapy, counseling, or mental health treatment. This contract states that coaching can help with decisions and preparation, but it doesn’t diagnose or treat medical or mental health conditions and can’t promise a specific job outcome.

How many coaching sessions do I need for a job change or interview prep?

The number of sessions depends on the target role, timeline, and what needs work, like materials, interview practice, or negotiation planning. This contract doesn’t promise a timeline and instead frames sessions as scheduled in advance for the number shown on the booking link or invoice.
