Life coaching can feel like a few good talks unless the boundaries and follow-through are written down, and the client also needs to know the work won’t turn into someone else’s version of self-improvement. A life coaching contract gives the coaching relationship that structure in plain language, so both sides know what’s booked, how payment and scheduling work, and where responsibility sits. The agreement sits on a rust-and-plum palette under Syne headings with Inter body text, which keeps the tone steady without sounding like a lecture.

The contract opens by describing coaching as a structured conversation, then moves into What you booked so the client knows what a session is and how progress gets defined. Payment spells out advance invoicing, a 7-day due window, and what happens to scheduling if payment is late, and Rescheduling and missed sessions explains how changes get handled and where the notice period and any fees get set. The later sections draw the line between coaching and therapy or licensed advice, cover how session packs and memberships are used, and close with “what happens if either side needs to stop” so the ending doesn’t come as a surprise.

  • Life coaching is a structured conversation Defines what coaching is for and how this agreement sits alongside an accepted proposal.
  • What you booked Describes what a session is and where the session count and length are confirmed.
  • Payment Covers advance invoicing, the 7-day due window, and when scheduling pauses for late payment.
  • Rescheduling and missed sessions Explains how session changes are handled and where notice periods and any fees are set.
  • Ending the coaching arrangement Names how either side gives notice, when coaching can end immediately, and includes a signature block.

The template comes ready to edit with your names, dates, rates, and any terms your practice handles differently, then you send it and the client signs online. After signing, both sides have a written agreement to refer back to when a session gets moved, an invoice is due, or the work needs a clear boundary.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a life coaching contract

PartWhat it covers

Life coaching is a structured conversation

Defines coaching as a structured conversation and explains how this agreement sits alongside an accepted proposal. Replace the names and any references to how your services are booked so the contract matches your process.

What you booked

Explains what a coaching session is and where session length and quantity are confirmed. Adjust the wording if your sessions run differently or if you deliver sessions in another format.

Payment

States that coaching is invoiced in advance, invoices are due within 7 days, and scheduling pauses if payment is late, which links the agreement to invoices, payments and receipts. Update the timing and any late-payment handling to match your terms.

Rescheduling and missed sessions

Covers how reschedules and cancellations are handled, including where the notice period and any fees get set. Replace the scheduling contact name and make sure the notice and fee rules match what you actually enforce.

Using your sessions

Explains how packs, blocks, and memberships draw down a session balance, and where pause, carry-over, refund, and expiry rules are defined. Edit the pack rules so the contract matches what clients can actually do with unused sessions.

What coaching is not

Draws a clear boundary between life coaching and therapy, medical care, and legal or financial advice, and states that outcomes aren’t promised. Keep the scope language aligned with your training and the kind of support you do and don’t offer.

Ongoing coaching membership

Describes recurring coaching periods, renewal, and how either side gives notice before the next period starts. Update the notice wording so clients can tell exactly when a cancellation takes effect.

Ending the coaching arrangement

Explains how either side can end coaching, when ending can be immediate for unsafe behaviour, and how prepaid unused sessions get handled under the agreed rules, then collects acceptance via a contract the client signs in the browser. Fill in your notice timing and make sure the prepaid-session handling matches your pack or membership terms.

Who it is for

Life coaches offering 1:1 sessions, plus coaches running career coaching, relationship coaching, or accountability coaching who need clear terms before work starts or renews.

The contract in full

Life coaching is a structured conversation that helps you set direction, make decisions, and follow through on the changes you want to make in your day-to-day life.

If you have accepted a proposal from us, this agreement sits alongside it and we follow both. The goal is simple: you know what we will do, what you will do, how scheduling and payment work, and where the boundaries are, so the work stays focused and respectful.

What you booked

A coaching session is a private, one-to-one conversation with your coach, usually held by video call or in person where available, and it lasts for the length shown in your booking confirmation. You have booked the number of sessions shown in your proposal, booking page, or invoice, and we will use the first session to confirm goals and what “progress” will look like for you.

Please come with any notes you want to share, and be somewhere you can speak freely without being overheard.

Payment

We invoice coaching in advance. If you are booking a single session, we invoice when you book. If you are on monthly coaching or a fixed term, we invoice at the start of each period, before the sessions in that period take place. We do not take any additional amount up front beyond the invoice for that session or period.

Every invoice is due within 7 days of the invoice date. Because we set aside recurring time for you, we cannot hold a repeating slot until the invoice is paid. If payment is late, we will pause scheduling until the account is up to date.

Rescheduling and missed sessions

If you need to move or skip a session, tell us as soon as you can. Paulina handles scheduling and rescheduling, and she will offer the next available times when you need to change a booking. Your session time is reserved for you, so please reply to scheduling messages promptly so we can lock the change in.

Our owner sets the notice period for reschedules and cancellations, and any late-cancellation or no-show fee. Those rules are written into your coaching agreement or your booking confirmation. If we have to cancel a session, we will offer you the next available options, and you will not be charged for the session we cancelled.

Using your sessions

If you have purchased a pack, a block, or a monthly or term-based membership, your sessions are booked from that balance. We will help you choose a steady rhythm, but you decide how you use the sessions within the boundaries of what you purchased.

Our owner sets the rules on pausing, carrying unused sessions over, refunds, and whether sessions expire. Those rules are written into your coaching agreement. In general, refunds are only considered for sessions that have not been used and that cannot be rescheduled within the allowed rules, and we will confirm any refund decision in writing before we process it.

What coaching is not

Life coaching is not therapy, mental health care, medical care, or legal or financial advice. We do not diagnose, treat, or manage mental or physical health conditions, and we cannot promise specific outcomes.

We will bring structure, direct questions, reflections, and practical frameworks. You choose what you try in real life, and you are responsible for your decisions and actions. If something comes up that needs clinical, medical, or other licensed support, we will name that clearly and encourage you to work with the right professional alongside coaching.

Ongoing coaching membership

If you are on recurring coaching, your membership runs in periods (for example, monthly) and is invoiced at the start of each period, before the sessions in that period take place. Unless you or we end it, it renews for the next period and we keep working in the same rhythm.

To stop recurring coaching, either side gives notice before the next period starts. The owner sets the notice timing, and we will write it into your coaching agreement so you can plan ahead. When you give notice, we will confirm the last active period and how any remaining sessions in that paid period will be scheduled.

Ending the coaching arrangement

Either you or we can end the coaching arrangement by giving notice. The owner sets the notice timing, and we will confirm it in your coaching agreement in writing so it is not a surprise.

If you end coaching, any sessions you have already paid for are handled under the pack or term rules you purchased, including any rules on refunds or carry-over. We may also end coaching immediately if your behaviour makes sessions feel unsafe, threatening, or harassing for our team, or if continuing would not be responsible. If that happens, we will tell you what we are seeing, stop scheduling, and confirm in writing how any prepaid, unused sessions will be handled under your agreed rules.

Questions about this contract template

What should a life coaching contract include?

A life coaching contract usually includes what gets delivered in a session, payment and invoicing timing, rescheduling and missed-session rules, boundaries on what coaching is and isn’t, and how either side can end coaching. This template covers all of those, including advance invoicing with a 7-day due window and a signature section.

Is life coaching therapy, and should a contract say that?

Life coaching isn’t therapy, medical care, or licensed legal or financial advice, and a contract should say that clearly. This contract includes a section that sets those boundaries and notes that specific outcomes can’t be promised.

What happens if a coaching client needs to reschedule or misses a session?

A coaching contract should explain how rescheduling works, who handles scheduling, and where the notice period and any late-cancellation or no-show fees are set. This template puts those rules in one place and also explains what happens if the coach cancels a session.

When should coaching invoices be due?

Invoice timing varies by practice, but many coaches invoice in advance so session time isn’t held without payment. This contract states that invoices are issued in advance, due within 7 days, and that scheduling pauses until the account is up to date if payment is late.

How do coaching session packs and memberships usually work?

Session packs and memberships usually draw down a balance of sessions, with separate rules for pausing, carry-over, refunds, and expiry. This contract includes a section on using sessions and another on ongoing coaching membership with renewal and notice before the next period starts.

Can a coach end coaching immediately, and should that be in writing?

A coach can reserve the right to end coaching immediately if behaviour becomes unsafe, threatening, or harassing, and a contract should explain what happens next. This template includes immediate-ending language and says prepaid unused sessions are handled under the agreed pack or term rules and confirmed in writing.
