The work starts with momentum and honesty, and then the messy bits show up: what happens when the month changes, when someone misses a session, or when progress turns into vague talking. This coaching contract gives the ground rules before any of that gets personal, so the client knows what’s included, what stays private, and what the monthly commitment actually means, in plain language under red-oxide and teal accents with Space Grotesk headings.

The opening section ties the coaching to the client’s stated goals and a baseline session, then the scope spells out sessions, check-ins, and the kind of weekly accountability the work will revolve around. Payment explains monthly invoicing, a 7-day due window, and what gets paused if invoices go overdue, while confidentiality covers sensitive business information, materials, and legal disclosure. The later sections draw a hard line between advice and running the client’s business, explain how month-to-month renewal and notice work, and limit liability to what the coaching team can control.

  • We’ll use the goals you’ve told Connects the agreement to the client’s stated goals and the first baseline session, and frames the contract as the practical rules that sit alongside any accepted proposal.
  • What we’ll do Defines the coaching scope, including sessions, check-ins, and how plan changes or extra people get priced and agreed before any extra work is booked.
  • Payment States monthly billing, invoicing at the start of the month, a 7-day payment term, and what happens when an invoice is overdue or disputed.
  • Keeping it private Explains confidentiality for business information and coaching materials, what happens if disclosure is required by law, and how information is handled when coaching ends.
  • Ending the work Covers notice to end the engagement, what still gets paid for in the final month, and includes the Signature block to make the agreement binding.

In Plutio, you update the names, dates, rates, and any terms that differ from how you work, then send the contract for online signature. Once the client signs, both sides have the same agreed wording to refer back to when scope changes, billing questions, or a mid-quarter reset comes up.

We went from spending hours on every proposal to creating fully customized ones in under 5 minutes. That's not an exaggeration - we timed it.

What to include in a coaching contract

PartWhat it covers

We’ll use the goals you’ve told

Sets the baseline for the engagement using the client’s goals and the first session, and positions the agreement as the ground rules that sit next to any accepted proposal.

What we’ll do

Explains what business coaching includes, how weekly accountability and reviews work, and how changes to cadence or participants get priced and agreed in writing before extra time is booked.

Payment

Spells out monthly invoicing, a 7-day payment window, pausing sessions if invoices go overdue, and how disputes get handled without holding up the undisputed amount.

Keeping it private

Defines what stays confidential, how both sides treat notes and materials, when legal disclosure can apply, and what happens to confidential information when the coaching ends.

How we’re set up

Clarifies the coaching team’s independence from the client’s staff, limits authority to commit spend or manage employees, and separates coaching support from implementation work.

Ongoing coaching

Describes month-to-month renewal, how session slots and coach assignment get confirmed, and how notice works so the engagement ends at a monthly boundary unless both sides agree otherwise.

Where we’re responsible

States what the coaches take responsibility for, how mistakes get corrected, and the limits around outcomes and third-party work outside the coaches’ control.

Ending the work

Covers how either side can end coaching with the agreed notice, what gets paid for up to the end date, what gets handed over from the current month, and includes the Signature section for acceptance.

Who it is for

Independent business coaches, leadership coaches, and advisory teams who run recurring coaching engagements and need clear terms before sessions start.

The contract in full

We’ll use the goals you’ve told us about, plus what we learn in the first baseline session, to focus each week on the decisions, numbers and habits that move your business forward.

If there’s a proposal you’ve accepted, this agreement sits alongside it. It’s the practical ground rules for how we run sessions, how we bill, and what we each do to keep the work useful and accountable.

What we’ll do

Business coaching covers the sessions, check-ins and workshops you’ve chosen, and the day-to-day support that goes with them. We’ll help you set a baseline, build a 90-day plan, and then stay on the thread with weekly accountability, a pipeline and numbers review, and a reset of management habits where that is what’s holding things back.

Your proposal sets out what you’re getting. If you want to add extra people, extra sessions, or change the cadence mid-month or mid-quarter, we’ll price the change and agree it in writing before we book time or do the extra work. If things go sideways mid-quarter, we’ll pause the 90-day plan and reset it in the next session, rather than turning it into a whole new programme.

Payment

Business coaching is billed monthly, as a recurring engagement. We invoice at the start of each month you’re booked for, and there’s nothing to pay up front beyond that month. Each invoice is payable within 7 days of its date.

If an invoice goes overdue, we’ll pause sessions and any between-session support until the account is back up to date, because we need to protect time for clients who are current. If you think there’s been a mistake on an invoice, tell us straight away and we’ll talk it through. You still pay the undisputed part on time while we sort the rest.

Keeping it private

What you share with us in sessions stays between you and us, including your numbers, staff issues, suppliers, customer situations and anything you’d reasonably treat as sensitive. We ask you to treat our materials the same way. That includes notes, worksheets, planning documents and anything we send between sessions.

Sometimes we may have to disclose information by law. If that comes up, we’ll tell you, unless we’re not allowed to. When the coaching ends, we’ll return or delete confidential information we hold for you if you ask. We’ll keep our own working notes so we can run our business properly, and we’ll still keep them confidential.

How we’re set up

We’re an independent coaching team, not part of your staff. That means we don’t manage your employees day to day, we don’t have authority to hire or fire on your behalf, and we don’t sign contracts or commit spend for you unless you’ve asked us to and confirmed it in writing.

We’re responsible for our own taxes, insurance, equipment and the way we run our work. You’re responsible for your own business decisions and for implementing changes in your company. We’ll challenge you, help you think, and keep you accountable to what you said you’d do. We can’t do the doing inside your business unless we’ve agreed that as a separate piece of work.

Ongoing coaching

Business coaching runs month to month and renews automatically at the start of each new month while you keep it going. We’ll agree your regular session slot for the month ahead, and we’ll confirm which of us you’re booked with when we schedule. Tom Hargreaves covers business coaching, Nadia Kaur covers operations coaching, and James Pritchard covers finance coaching.

To stop the recurring engagement, either of us can give notice. We’ll agree the notice period with you in writing, because it depends on your cadence and how your month is booked. Notice takes effect at the end of a monthly period, not mid-month, unless we both agree otherwise. Any booked time in the final month is still delivered and billed as normal.

Where we’re responsible

We take responsibility for doing the work we’ve agreed, showing up prepared, and treating your information with care. If we make a mistake that’s within our control, we’ll put it right by redoing the affected coaching time or correcting the work, as appropriate.

Business coaching is advice, challenge and support, not a guarantee of a specific commercial outcome. You make the final calls, and results depend on factors we can’t control, like market conditions, your team, and how quickly decisions are implemented. We’re not responsible for losses caused by decisions you take, actions you instruct your team to take, or work done by third parties you bring in.

Ending the work

Either of us can end Business coaching by giving notice. We’ll follow the notice period we’ve agreed in writing for your recurring engagement. If you want to end because something isn’t working, tell us first. In most cases we can fix it by resetting the goals, the cadence, or what we’re measuring.

If we end the work, you pay for the coaching time already delivered and any month already invoiced for the period you’re in. We’ll hand over anything we’ve produced for you that month, like the current 90-day plan, decision list, and action owners, so you’re not left without the thread. If you’ve missed sessions, we’ll try to rebook them within the same month. If diaries don’t line up, that time is still treated as used because we held it for you.

Questions about this contract template

What should a coaching contract include?

A coaching contract usually covers the coaching scope, payment terms, confidentiality, responsibilities and limits, renewal and notice, and signature lines. This template also ties the work back to the client’s stated goals and a baseline session.

How do coaching contracts handle monthly payments and late invoices?

The Payment section sets monthly invoicing at the start of each booked month and makes invoices payable within 7 days. The same section explains that sessions and between-session support pause when invoices go overdue until the account is up to date.

Is coaching confidential, and what information is protected?

The confidentiality section keeps session content private, including numbers, staff issues, suppliers, and customer situations, and asks the client to treat coaching materials the same way. The same terms cover legal disclosure and what happens to confidential information when coaching ends.

Can a coach guarantee business results in a contract?

The responsibilities section treats coaching as advice, challenge, and support, not a guarantee of a specific outcome. The terms also limit responsibility for losses caused by the client’s decisions, actions taken by their team, or third parties they bring in.

How do coaching contracts handle renewal and cancellation?

The ongoing coaching terms run month to month and renew automatically at the start of each month. Ending the work happens through a written notice period that takes effect at the end of a monthly period unless both sides agree otherwise.

What happens if sessions are missed or the plan needs to change mid-quarter?

The scope section explains that changes to cadence or extra sessions get priced and agreed in writing before extra work is booked. The ending section also addresses missed sessions by attempting to rebook within the same month, depending on availability.
