Archive, trash and activity logs
Items follow a three-stage lifecycle: active, archived, and deleted. Each stage is reversible up to a point, and every change along the way is tracked in the activity log.
Archiving
Archiving removes an item from active lists without deleting any data. Archived projects, invoices, proposals, contracts, tasks, and contacts no longer appear in default views, but their data, attachments, and linked items remain intact. Archived items can be restored to active status at any time, picking up right where they left off.
Archiving is useful for completed work that might need to be referenced later. A finished project can be archived to keep the active list clean while its invoices, conversations, and time entries stay accessible if a question comes up months later.
Trash and permanent deletion
Deleted items move to the trash rather than being removed immediately. Items in the trash remain recoverable for 30 days. After 30 days, Plutio permanently removes trashed items and their associated data. Restoring an item from the trash moves the item back to its original location with all data intact.
The 30-day retention window means accidental deletions can always be recovered, as long as the item is restored before the window closes.
Activity log
The activity log records every change made across your workspace: who made the change, when the change happened, and what the old and new values were. Edits to projects, tasks, invoices, contacts, proposals, and contracts all appear in the log with full detail. Filtering by type, team member, or date range makes it straightforward to trace specific changes or audit who modified a particular record.
Email logs
Outgoing emails sent from Plutio, including invoice reminders, proposal notifications, and conversation replies, are tracked in the email log. Each entry shows the recipient, subject, send time, and delivery status. If an email fails to deliver, the log shows the failure reason, so delivery issues can be identified and resolved without guesswork.
